Job summary

A fashion retailer in Greater London is seeking a Production Admin Assistant to support the production team. The ideal candidate will have at least 2 years of administrative experience in the fashion industry, excellent organizational and communication skills, and experience working with international suppliers. This role requires proactive problem-solving abilities and a strong attention to detail.

Qualifications

  • Minimum 2 years’ experience in administration within the fashion industry.
  • Experience working with factories/suppliers based in the Far East and India.

Responsibilities

  • Assist Senior Production Coordinators with PO information updates.
  • Set up new products/suppliers and download reports.
  • Track and update internal shipping schedule.
  • Follow up orders weekly with factories.
  • Quality check samples against pre-production.
  • Prepare commercial invoices for customs clearance.

Job description

We are looking for a Production Admin Assistant to join our production team and assist Senior Production Coordinators to secure timely and successful deliveries.

Responsibilities
  • Assist the Senior Production Coordinators to accurately update and maintain PO information on internal systems.
  • Setting up new products/suppliers, download reports from in house system.
  • Working closely with Design team in reviewing packaging requirements for customers.
  • Track and update internal shipping schedule and cross check packing lists against scheduled shipments. Adjust shipment schedule where applicable.
  • Proactively follow up orders weekly with factories and chase shipment samples, QC reports and any documents for approval prior to shipment.
  • Quality checking samples against approved pre-production samples.
  • Attend production meetings with Senior production coordinators and factories where required.
  • Raising invoices.
  • Check and approve supplier invoices, liaise with finance team to arrange payments.
  • Cross check packing lists and delivery note against purchase orders.
  • Upload images on licensed portals.
  • Prepare commercial invoices for custom clearance.
  • Assist Senior Production Coordinator in any additional tasks to ensure timely production and delivery of all orders.
What we need from you
  • Minimum 2 years’ experience in working within administration in the fashion industry.
  • Strong organizational skills with the ability to prioritize.
  • Experience working with factories/suppliers based in the Far East and India.
  • Being highly driven and able to work under pressure to meet deadlines.
  • Proactive with problem solving skills and strong attention to detail.
  • Outstanding communication skills both externally and at all levels internally.
  • Excellent knowledge of Microsoft Office, in particular, Excel.
  • Willing to adapt and take on new challenges and driven to continually improve.
  • Enthusiastic, self-confident and self-motivated.
