Purpose Of Role

The Procurement Manager leads and manages a team of Buyers. The Procurement Manager interacts with suppliers at all levels across the Group’s worldwide supply base and with managers and colleagues in other departments. The role holder must influence both suppliers and colleagues to deliver projects within agreed timeframes and meet critical delivery dates for all products. The role has authority over financial spend within agreed parameters and is responsible for department decisions during coverage periods and on projects or categories where they are the purchasing lead. The Procurement Manager ensures that the strategy aligns with business needs and follows guidelines set out by internal auditors.

Key Responsibilities
  • Development and delivery of Procurement strategy
  • Management of internal processes to ensure audit compliance
  • Team development – creating plans and developing individuals
  • Reviewing the performance of suppliers and the procurement process
  • Generation and provision of management information, and reporting
  • Maintaining a positive stock position on all current lines; supporting expediting outstanding orders and monitoring supplier performance against agreed service levels; reviewing consumption figures and placing orders for replacement stock with agreed timescales
  • Relationship management with suppliers, clients and internal stakeholders
  • Contract negotiation and award
  • Managing the procurement function for Matthew Algie, Espresso Warehouse, Tchibo Coffee International & Capitol Foods
  • Development of department policy and procedure
  • Implementation and development of new systems
  • New Product development – work with Marketing and Sales to assist in food category development
  • Managing and monitoring all non-stock suppliers, including contract creation
  • Cost management – actively seeking ways to reduce costs
  • General department administration, including checking delivery notes, updating order records, maintaining price database and filing
  • Fleet management – tenders, fuel cards, etc.
  • Company utilities – monitoring contracts and annual spend
  • Organising, leading, and managing project work from a Procurement perspective
  • Other duties as directed by Group Operations Director
Detail
  • Enhance efficiency and effectiveness of the company by introducing innovative procurement approaches
  • Ensure best professional procurement and contracting practices are followed
  • Proactively deliver commercial/procurement needs, managing spend risks and value
  • Maximise revenue potential by identifying drivers in the supply chain
  • Deliver continuous improvement across the supply chain and pursue savings
  • Manage supply chain efficiencies upstream and downstream to increase margins
  • Utilise market and forecast information and maintain cost management
  • Negotiate best costs; ensure quality of purchased materials
  • Assess and scrutinise vendor bids or proposals
  • Plan meetings with vendors to optimise savings via buying strategies
  • Select sources based on analysis; arrange vendor contracts
  • Review supplier and procurement process performance
Management Information and Reporting

Generation, maintenance and provision of management information

  • Improve service efficiency as measured by KPI in Service Level Agreements
  • Ensure reports are produced accurately and to specification
  • Identify useful management information reports and oversee their creation, maintaining databases and spreadsheets with data quality and integrity
Department Policy and Procedure
  • Take ownership for governmental and industry reporting on waste and usage
  • All invoices and credits must be properly authorised and processed promptly
  • Documentation issued to customers and vendors must be clear and concise
  • Staff must have up-to-date Purchasing documentation controlled through document control, with quality control procedures followed
  • All complaints must be logged and corrective/preventive action taken and reported to customers when required
  • Annually review and update current Procurement procedures
Person Specification

Education / Qualifications / Training:

  • Degree level education
