Job description

Due to expansion and various new projects, we are seeking an experienced Procurement Assistant to join our award-winning international interior design and architectural studio in the UK.

Led by Helen Bygraves and Jenny Weiss, Hill House Interiors is supported by a 35+ strong team of designers and interior architects. Together, we are a flourishing design practice that embodies the best in British and European design, with a signature aesthetic of ‘Modern Luxury’—defined by impeccable attention to detail, layered textures, and innovative materials.

The Procurement Assistant will play a pivotal role in supporting the interior design team with the procurement process for high-end residential projects. This position is key in assisting the Procurement Manager and design team with the purchasing and sourcing of furniture, fixtures, and equipment (FF&E), ensuring the successful execution of orders, from initial costing and negotiating and ordering to, delivery and installation. The role requires a highly organised, proactive, and detail-driven individual to support our studio operations, procurement, and project management.

This is an exciting opportunity within a newly formed department with opportunities to develop within the role with mentoring from a procurement manager.

  • Ability to communicate effectively between UK and Middle East offices
Qualifications/ Experience:
  • A background or qualification in procurement, business administration or supply chain management is a plus.
  • Familiarity with specific procurement tools (e.g. Microsoft Excel, EstiPC)
  • Minimum of 2 years’ experience in procurement, ideally within luxury interior design or high-end residential projects.
  • Experience managing FF&E sourcing, negotiations, and procurement logistics for projects.
Knowledge & Technical Skills:
  • Strong negotiation skills and experience securing favourable terms and pricing with suppliers.
  • Ability to manage multiple priorities and work closely with various team members
  • Detail-oriented with excellent organisational and time-management skills.
  • Strong problem-solving abilities and a proactive, solutions-focused approach to procurement challenges.
  • Proactive with excellent communication skills, both written and verbal, to liaise effectively with internal teams and external suppliers.
  • Ability to work under pressure in a fast-paced, creative environment.
  • Strong and efficient computer literacy
  • Proficiency in EstiPC
Key Responsibilities
  • Procurement and Sourcing:
    • Set up and manage Trade accounts
    • Collaborate closely with the designers to understand the specific project requirements
    • Sourcing specified furniture, fittings and equipment from high end suppliers and manufacturers
    • Maintain and nurture strong relationships with existing suppliers, and actively seek out new suppliers
  • Cost Management and Negotiation:
    • Work in close partnership with the design team to evaluate FF&E quotes, assess costs, and negotiate the best pricing while preserving the quality of materials and design integrity.
    • Ensure cost-effective purchasing through careful analysis of quotes, while maintaining high standards of luxury and craftsmanship.
    • Review and approve supplier invoices to ensure they match procurement agreements and project budgets.
  • Order Management and Coordination:
    • Oversee the ordering process for all FF&E, ensuring accurate specifications and timely order placement.
    • Coordinate with suppliers to track orders, resolve issues, and expedite delivery to meet project deadlines.
    • Manage logistics for delivery, inspection, storage, and installation of products, ensuring the entire process runs smoothly.
    • Conduct quality control checks upon product delivery to ensure compliance with specifications and standards.
  • Reporting and Administration:
    • Maintain accurate records for contractors liability insurance, product warranties, returns, and any supplier-related issues.
    • Maintain accurate and up-to-date records of all procurement-related activities, including orders, quotes, deliveries, and communications with suppliers.
    • Assist with creating and managing procurement reports, helping designers and project managers track budgets and deadlines.
    • Creating fabric schedules to send to suppliers
