Job description
Job Summary

The post holder will provide daily administrative support to all PCN managers and their respective teams, supporting service delivery, PCN activities, as well as current and future workstreams. The post holder will also provide ad‑hoc administrative support to the Managing Director, Operations Manager and PCN Clinical Directors when required. This role involves providing high quality work and effective administration skills across a wide variation of work, with some travel across Gosforth and Jesmond. The job holder will be based at Regent Centre but will be required to work routinely across the Gosforth and Jesmond area.

Main duties of the job
  • Service administration and coordination.
  • Organising, administrating, and attending meetings; producing agendas, minutes, notes and disseminating meeting minutes and papers.
  • Co‑ordinate PCN group consultations and training events; supporting patient, partner organisations and stakeholder engagement.
  • Ensuring action logs are maintained as required and items are progressed.
  • Assisting with data capture and coding on a range of systems; using GP clinical records and systems as well as other non‑clinical administration IT systems.
  • Liaising with managers and team leads to ensure distribution lists are kept up to date.
  • Assisting with production of corporate materials such as brochures, reports, training and communication aids.
  • Other duties as required.

Job Description – Responsibilities
  • Ensure on‑call doctors for practices are correct and saved on Teams each week.
  • Ensure accurate visualisation maintenance on System One for GJH and EA information.
  • Message patients as required to support Same Day Access clinics and Home Visiting.
  • Support the delivery of a range of Group Consultations and Meet & Move sessions.
  • Provide administrative support to the management team in undertaking their day‑to‑day operations.
  • Provide direct support to the PCN Project Manager, Business Support Manager and Clinical Services Manager.
  • Provide ad‑hoc support to the Operations Manager, Managing Director and Clinical Directors as required.
  • Organise meetings and events related to PCN service provision and activities.
  • Coordinate, administer and support a range of operational and management meetings; produce agendas and minutes with the support of PCN managers.
  • Provide operational support and administration in the coordination of ledgers and rotas, taking directions from operational managers and leads.
  • Support the HR Manager with system administration during the induction of new employees and processing of leavers.
  • Oversee and administer all rotas and ledgers to assist operational managers in ensuring good staff cover and effective service delivery at all times.
  • Support the production of corporate materials including reports and brochures.
  • Coordinate content for the PCN newsletter as well as PCN activities and events.
  • Contribute to the overall delivery of national and local Primary Care Network priorities and initiatives, by working closely with the PCN Business Support Manager, operational managers, Clinical Directors and the Primary Care Network team.
  • Undertake distinct tasks and activities to support the delivery of project milestones.
  • Liaise with third parties about aspects of PCN work.
  • Build and maintain good relationships with clinical staff involved in or associated with the network to always maintain effective clinical engagement.
