Primary Care Network (PCN) Administrator

The PCN Administrator will play a pivotal rolein supporting the day-to-day operations of the Primary Care Network. Thisindividual will provide comprehensive administrative support to the PCN teamincluding the Clinical Director and Non-Clinical Director, ensuring smooth coordination of meetings, projects, and communications across the network.

The PCN Administrator will need to work closely with practice managers, healthcare professionals, and external partners across the PCN which could involve working across other PCN sites.

Main duties of the job

The PCN Administrator will report to the PCN Operational Manager; if they are not in post/on leave the administrator will report to the Non-Clinical Director.

The PCN Administrator is expected to support both the Non-Clinical director and the Clinical Director of the PCN.

The Administrator will need to work closely with practice managers, healthcare professionals, and external partners across the PCN.

Job responsibilities

North H&F PCN serves a well-defined geographical area that is roughly contiguouswith the W12 Postcode. This is an area characterised by social housing and socio-economic deprivation, with 80% of residents falling into the most deprived two IMD quintiles and about 19,000 people being within the core 20 cohort.

The needs of this population are met by nine GP practices, which have a combinedlist size of about 58,000 and include:

  • Canberra Old Oak Surgery
  • Dr Canisius & Dr Hasan (Parkview Centre for Health & Wellbeing)
  • Dr Uppal & Partners (Parkview Centre for Health & Wellbeing)
  • Hammersmith & Fulham Centres for Health
  • Shepherds Bush Medical Centre
  • The Medical Centre
  • The New Surgery

These practices are arranged in a hub and spoke configuration, with four based at a purpose-built Centre for Health and Wellbeing in the centre of the PCN geography, two to the north in Old Oak, and three to the south along Uxbridge Road. The PCN can be walked from north tosouth in about 15 minutes.

The PCN are investing into these roles recognising that these are needed to support them with their ongoing development. The post holder will support the PCN to continue to grow and mature so the role represents an exceptional opportunity to make a difference and establish a strong foundation for further development as part of this journey.

Key Responsibilities
Meeting Coordination
  • Schedule andorganise PCN meetings, including board, clinical, and operational sessions
  • Prepare agendasin collaboration with directors
  • Attend meetingsto take accurate notes and formal minutes
  • Create actionlogs from meetings and chase action owners for responses.
Document & Presentation Preparation
  • Draft and formatdocuments, reports, and presentations using Microsoft Word, Excel, andPowerPoint
  • Create andmaintain templates for consistent communication and reporting
Project & Logistics Support
  • Assist withproject planning and tracking, including timelines and deliverables
  • Coordinatelogistics for PCN events, training sessions, and stakeholder engagements
  • Maintain sharedcalendars and task lists for directors and wider teams
  • Act as a pointof contact for internal and external stakeholders
  • Draftprofessional correspondence and disseminate information across practices
  • Ensure timelyfollow-up on action items and communications
Administrative Systems
  • Maintain filingsystems, databases, and records in line with data protection policies
  • Supportprocurement and resource management as needed
Service support
  • Administrationsupport to PCN service delivery
  • Activityrecording and processing
  • Draftingof responses to complaint letters for review

Person Specification
Experience
  • Proven experience in administrative role
  • Proven experience in administrative roles, preferably within healthcare or public sector
Knowledge
  • Familiarity with NHS structures and terminology
