Job Summary

The Prescription Clerk provides support to our GPs and ANPs in the receipt and preparation of repeat prescriptions for our 12,000+ patients. You will be the main point of contact for patient enquiries about their prescriptions, so resilience is important. You will be liaising on sensitive medical information, so a caring customer service communication style is essential. To thrive in this role, you will enjoy the challenge of lots of different aspects that require you to use your exceptional organisational and prioritising skills, combined with top level attention to detail. Problem solving on a day to day basis on issues relating to your work, you will also enjoy working closely as a team to achieve shared objectives and ensure daily priorities are delivered. Patients expect a high standard of service and outstanding customer service, so working as a team to meet and manage these expectations is important.

Duties
  • Co‑ordinating and preparing repeat prescriptions for patients.
  • Data entry onto patient records, EPS and pharmacy liaison.
  • Work with GPs to provide a responsive repeat prescription service.
  • Deliver the technical aspects of prescription preparation to ensure safe prescribing.
  • Ensure service targets are met and errors are minimised.
  • Comply with legal and professional requirements and safe systems of work for re‑authorising repeat prescriptions.
  • Run analysis reports for continuous improvement.
  • Liaise with pharmacies on the supply of prescribed drugs, alert clinicians of supply issues and forward information on recommended alternatives.
  • Expedite urgent prescriptions to ensure a safe and responsive service for patients.
  • Respond to enquiries from patients, carers, secretaries, NHS administrators, consultants or the Medicines Management Team in a courteous, timely and efficient manner.
  • Provide an efficient administration service to ensure the smooth running of prescription support for clinicians.
  • Post and email written correspondence as appropriate.
  • Maintain accurate patient records promptly and quickly.
  • Keep up to date with the practice formulary and the national restricted drugs list.
  • Bring any queries to the attention of the relevant doctor, including under and over usage.
  • Inactivate drugs that have never been issued or have not been issued for a specified period of time.
  • Liaise with external pharmacy services and patients as necessary to resolve queries.
  • Build good working relationships with local pharmacies.
  • Check emails regularly and deal with them appropriately.
  • Create tasks and assist clinicians in managing document workflow related to prescriptions.
  • Establish and maintain filing and administrative systems so that written or computerised information is easily accessible and secure.
  • Ensure adequate stationery supplies are in stock.
  • Escalate any problems to your line manager or practice manager that you need support with.
  • Provide cover for members of the Prescription team during periods of sickness and annual leave.
  • Undertake training as requested to support safe and effective services for the practice.
  • Carry out any other duties as may reasonably be requested by the GPs, practice manager or line manager.
About Us

Our team includes 2 GP partners, 5 salaried GPs, 1 Advanced Nurse Practitioner, 2 Practice Nurses and 2 Health Care Assistants. Through our PCN ARRS staff, we have a dedicated Clinical Pharmacist, Social Prescriber and Care Coordinators. We also have weekly access to a physiotherapist and a mental health practitioner. The clinicians are supported by a highly skilled administrative team, with the Reception team at its core. A strong reception management structure is essential to maintaining the smooth operation of the practice.
