Job description

A well-established architecture practice based in South West London is seeking a professional and highly organised Practice Administrator & PA to the CEO/Founder to join their team.

This is a key front-of-house and operational role. You will be the first point of contact for the practice, representing the business with warmth and professionalism, while supporting the wider team to ensure the smooth and efficient running of the office.

This varied position combines front-of-house responsibilities, practice administration and focused PA support to the CEO/Founder. You will play an integral role in maintaining well‑organised systems, supporting architects, and ensuring the practice operates efficiently day to day.

Key Responsibilities
Front of House & Office Administration
  • Act as the first point of contact, welcoming clients and visitors in a professional and friendly manner
  • Answer, screen, and direct incoming calls, taking accurate messages as required
  • Manage the general inbox and distribute emails appropriately
  • Receive, sort, scan, and distribute incoming post
  • Maintain a tidy and professional reception area at all times
  • Prepare meeting rooms for client meetings, ensuring rooms are clean, organised, and well‑presented
Practice & Team Support
  • Provide administrative support to architectural teams, including printing, copying, filing and document preparation
  • Document control within the Document Management System
  • Process staff expenses and practice purchases, including training and professional courses
  • Coordinate professional development programmes and internal events
  • Order stationery and office supplies in line with budget
  • Arrange office maintenance and liaise with external suppliers
  • Assist with IT‑related issues and coordinate with external support providers
  • Maintain and update the practice website and social media platforms
  • Organise and facilitate office socials
PA Support to CEO/Founder
  • Conduct internal project file audits to ensure emails and documents are correctly filed and process checklists are complete
  • Arrange travel and provide meeting preparation and organisational support
  • Manage archiving and ongoing project file maintenance
Skills & Experience Required
  • Strong organisational skills and excellent attention to detail
  • Previous PA experience is a plus
  • Confident communicator with strong written and verbal skills
  • Proactive and solutions‑focused approach
  • Team‑oriented and adaptable to different working styles
  • Professional, discreet and reliable
  • Proficient in Microsoft Outlook (including calendars) and Microsoft Office (Word and Excel)

Salary - £40,000-£43,000 DOE
