  • Document control within the Document Management System.

  • Ensure meeting rooms are clean and ready.

About the practice

A well-established small to medium-sized architecture firm based in South West London is looking for a Practice Administrator to join the team.

This role will be the first point of contact and the face of the office, including welcoming clients and handling initial enquiries in a friendly, professional manner. It is a varied role, supporting a team of architects. You will play an important part in the day-to-day responsibilities of the team, working closely with colleagues to ensure efficiency across the office.

Main responsibilities
  • Answer and monitor calls, forwarding them to the relevant person as required and take accurate messages

  • Welcome guests, show them to the meeting room and offer refreshments on arrival

  • Keep the reception desk tidy at all times

  • Receive, sort and scan incoming post for the team

  • Manage and forward emails that come into the general inbox

  • Assist teams with administration duties, such as copying, filing, printing, and similar tasks

  • Document control within the Document Management System

  • Process expenses and team purchases, including courses and training

  • Arrange and facilitate professional development programmes and events run by the company

  • Order stationery and office supplies in line with budget

  • Ensure meeting rooms are clean and ready for clients and visitors with tables clear, water refreshed, glasses clean, and similar preparations

  • Arrange office maintenance as required

  • Assist with information technology issues and liaise with external support providers

  • Maintain and update the office website and social media platforms such as Twitter and LinkedIn

  • Arrange and facilitate office socials

  • Handle confidential matters with discretion

  • Undertake any other duties as required for the smooth running of the office
