Overview

Boden Group deliver facilities maintenance services and project works to the Ministry of Defence and commercial clients at multiple sites in the South West and South East.

We're looking for a highly organised Planned Preventative Maintenance (PPM) Coordinator to join our team. This role is key to keeping our operations running smoothly.

Main duties
  • Coordinate and schedule all planned preventative maintenance tasks in line with statutory requirements and contractual obligations.
  • Manage the PPM calendar to ensure timely completion of works by both internal teams and supply chain partners.
  • Liaise with engineers, supervisors, and contractors to confirm attendance, access arrangements, and completion of scheduled activities.
  • Ensure all relevant permits, RAMS, and authorisations are in place prior to works commencing.
  • Monitor progress of PPM activities, escalating delays or issues to the relevant manager.
  • Maintain accurate records of completed works, certificates, and compliance documentation within the CAFM system.
  • Produce regular reports.
  • Coordinate remedial works.
  • Assist with procurement of parts and materials required for planned works.
  • Work closely with site teams to ensure minimal disruption to operations during planned activities.
  • Support audits, inspections, and client reviews by providing accurate data and documentation.
  • Provide cover and support to the wider FM team during periods of absence or increased workload.
Required Skills and Abilities

Essential:

  • Strong organisational and scheduling skills to manage multiple maintenance activities at once.
  • Confident using CAFM/management systems and Microsoft Office.
  • Excellent communication skills to work effectively with engineers, contractors and clients.
  • Sharp attention to detail with solid record-keeping and reporting abilities.
  • Able to prioritise workloads and meet competing deadlines.
  • Proactive and adaptable, responding quickly to changing site requirements.

Desirable:

  • Experience coordinating PPM activities in a facilities or maintenance environment.
  • Background in MoD or other high-security sites.
  • Familiarity with recognised maintenance standards (e.g. SFG20).
  • Experience managing supply chain performance and KPIs.
  • Knowledge of statutory and regulatory requirements for planned maintenance and FM.
