Job description

As part of a busy Business Planning team, you'll help ensure that projects run smoothly by supporting communication, reporting and cross-department coordination. This position would suit someone who thrives on organisation and enjoys maintaining the processes, documentation and reporting that underpin effective project and portfolio governance.

Location
Duties for this role include, but are not limited to:
  • Supporting the definition, prioritisation and monitoring of change and BAU portfolios.
  • Maintaining portfolio management processes, ensuring updates are timely, accurate and authorised.
  • Liaising with internal and external stakeholders to gather data for reporting and decision‑making.
  • Supporting Project Managers with processes, tools, templates and delivery methodologies.
  • Coordinating project meetings, preparing papers, taking minutes and distributing information.
  • Maintaining project documentation, online systems and communication channels.
  • Coordinating project team and contractor resource, including travel and expense arrangements.
  • Tracking progress across all projects and supporting stakeholder management.
  • Ensuring compliance with project governance frameworks and gated processes.
  • Supporting document management, reporting, and risk/issue/change control activities.
  • Upholding Health & Safety, Data Protection, Equal Opportunities and corporate governance obligations.
  • Demonstrating organisational values and contributing positively to team culture.
Skills / Qualifications

The ideal candidate will be highly organised, proactive and comfortable managing multiple priorities within a structured project environment. They will have strong communication skills, good attention to detail and the confidence to work with stakeholders across all levels. Solid Microsoft Office skills - particularly Excel and Word - are essential, with experience using MS Project or similar tools considered an advantage. An understanding of project lifecycles and governance frameworks is desirable, and a PRINCE2 qualification (or willingness to study) would be beneficial.
