Job description

The Portfolio Information Lead will play a pivotal, immediate role in supporting the successful delivery of our transformation programme. This includes evaluating current portfolio information management, document control & management processes, with a critical focus on implementing robust configuration, control, and governance structures (including naming conventions, storage/retention policy implementation, and strict access controls).

Subsequently embedding a consistent best practice approach to information management and document control, ensuring that organisational and regulatory requirements are met.

Job Specific Accountabilities (Configuration Management & Governance)
  • Critically Important Short-Term Deliverable: Create and own the short-term roadmap for delivering a refined process for document management to help inform longer term planning.
  • Lead the development and implementation of strategic information, knowledge and documentation management policies and standards within the TPO function.
  • Must have hands‑on experience in: Managing and improving the Document Retention Process in line with policy, including facilitating the relationship with the Postal Museum.
  • Ensure appropriate permissions are in place providing relevant access controls to sensitive information adhering to required standards and regulations.
  • Ensure governance artefacts and papers are effectively version controlled, and fully compliant.
Qualifications, Experience & Skills
  • Essential & Significant Document and Information Management Expertise:
    • Significant, proven document configuration and controls expertise (including document naming, flags, storage/retention structures, and access controls) is an essential requirement for this role.
    • Significant document and information management experience, in a large transformation programme including knowledge of principles and best practices.
    • Proven experience in a PMO, Portfolio support, and management information role within a large complex transformation or change portfolio.
    • Knowledge of programme and project governance frameworks and tools.
    • Knowledge of data privacy, security and compliance requirements.
  • Skills and Capabilities:
    • An enabler and leader who can speak with knowledge and confidence in their subject matter, particularly Configuration and Controls.
    • Proficiency in Project Portfolio Management (PPM) tools (e.g. ServiceNow, PPO, Planview, Monday).
