Porter & Transport Co-ordinator – Team Leader

Reports to: Estates Manager
Hours: 37.5 hours per week, 52 weeks per year
Working Pattern: Two-week alternating rota, M-Fr
Week A: 10:00am – 6:00pm
Week B: 6:00am – 2:00pm

Overview

Our Client is a high-performing co-educational and boarding school with a strong reputation for all‑round excellence. They are seeking a professional, hands‑on Porter & Transport Co‑ordinator – Team Leader to play a key role within the wider services team. This role provides essential operational support across the site while ensuring the highest standards of health, safety, and service delivery.

This position combines leadership of the portering function with responsibility for coordinating transport operations, including vehicle fleet management and oversight of minibus drivers. This is an active, varied role requiring strong organisation, leadership, and practical capability ensuring smooth day‑to‑day operations, high standards of safety, and excellent service delivery.

Key Responsibilities – Team Leadership & Operations
  • Lead and coordinate the portering and transport teams, ensuring clear communication and smooth daily operations.
  • Allocate work, manage rotas, and provide continuous site cover.
  • Run regular team meetings, inductions, and annual appraisals.
  • Ensure all staff receive appropriate training, including manual handling and health & safety compliance.
  • Act as a key point of contact for staff, senior management, parents, and external partners.
Transport & Vehicle Management
  • Coordinate transport operations and oversee the organisation’s fleet of minibuses and site vehicles.
  • Manage and support a team of minibus drivers, ensuring training, cover, and compliance.
  • Liaise with the external route‑planning provider.
  • Ensure all vehicles meet legal and health & safety requirements, including servicing, MOTs, inspections, and Permit 19 compliance.
  • Maintain accurate vehicle records covering mileage, servicing, taxation, and leasing details.
  • Schedule maintenance, repairs, valeting, and inspections using approved suppliers.
  • Process vehicle‑related orders and invoices via the finance system.
Portering & Site Duties
  • Carry out hands‑on portering tasks including deliveries, post distribution, equipment moves, and site set‑ups.
  • Unlock and secure buildings in accordance with procedures.
  • Support major school events, assemblies, parents’ evenings, and external lets.
  • Manage help desk requests through the CAFM system within required timescales.
  • Accept and manage deliveries, ensuring safe storage and distribution.
  • Escort contractors and visitors when required.
  • Support traffic management and site safety operations.
Health, Safety & Compliance
  • Maintain strong awareness of HSE responsibilities and statutory compliance.
  • Ensure safe use and storage of equipment and vehicles.
  • Attend and complete all required training including manual handling, COSHH, and minibus‑related qualifications.
  • Promote safe working practices across the team and site.

  • Strong leadership, organisation, and time‑management skills.
  • Physically fit and able to carry out manual handling duties.
  • Confident using IT systems and vehicle booking platforms.
  • Full, clean driving licence essential.
  • Professional, approachable, and able to communicate effectively with a wide range of stakeholders.
