Job description

We are looking for an enthusiastic, motivated and reliable full‑time administrator and clinic assistant to join our very busy, efficient and friendly Podiatry team; based at Northwick Park and Ealing Hospitals.

The ideal candidate will have a clinical support worker / health care assistant background as well as administration experience. They should have knowledge and experience of electronic patient systems such as Cerner.

The role will be a mix of front desk, patient‑related administrative duties and basic clinical support alongside the Podiatrists in clinic.

We welcome experienced NHS receptionists, health care assistants with administration experience as well as candidates with related experience and are willing to learn.

Responsibilities
  • Monitoring appointment slots, to ensure fully utilised
  • Assist the Team Leader with the induction of new staff
  • Answer general queries on the emergency foot email
  • Register new patient appointments and transport
  • Book follow‑up appointments as per Podiatrists requests
  • Block/open podiatry clinics
  • Cancel/rearrange appointments as per clinician request. Use Cerner to update patient records
  • Allocate clinic appointments using Cerner
  • Use NHS.net for communication
  • Monitor the emergency foot generic email and forward new referrals to triaging podiatrist at each site
  • Regularly check answerphone
  • Contact patients by telephone to cancel and rearrange appointments, answer, and deal with a variety of telephone enquiries on the generic phone number
  • Greeting patients arriving for appointments
  • Rebook appointments to patients who are unable to attend
  • Ensuring the Department’s ‘failure to attend’ policy is followed
  • Perform patient blood glucose and clinical observations testing as required
  • Ensure the availability of snacks and beverages for patients as necessary
  • Assist patient to the toilet and supervise them whilst using if required due to impaired mobility
  • Escort or assist transfer patient to Xray or Pharmacy department during their clinic appointment if required
  • Assist in clinical procedures that training is provided for by the Podiatry team and the OPD Nursing team
  • Be aware of individual patient needs
