The North Staffordshire and Stoke on Trent Integrated Musculoskeletal Service (NIMS) is looking to recruit an enthusiastic and motivated Band 2 Administration Assistant to join our friendly administration team. We are looking for full time (37.5 hours) but part time hours or job share will be considered. This position will be based in the Newcastle/Stoke area, however, there will be a requirement to travel to other clinic locations within the North Staffordshire and Stoke on Trent area. Once training and competencies have been signed off, we have the option of home working.
You must have good written and verbal communication skills, the ability to communicate clearly, sensitively and calmly on the telephone with patients who may have communication difficulties, and work effectively in a team setting. Previous experience of administration and booking systems and experience of working within the NHS would be an advantage but not essential as full training will be given.
This is a busy environment to work in with constant demand for appointments and supporting our clinical staff, but you will be working with a great team of people who will support you along the way.
Job Responsibilities include:
Telephone - The post holder will be booking and rescheduling Physiotherapy appointments. The post-holder will be required to handle incoming telephone calls and dealing with queries from patients, relatives, carers, Physiotherapy staff and other agencies.
Administrative - Supporting clinical services including scanning, filing, creating and sending clinic appointment letters and supporting information and supporting projects and audits as required. The post holder will be working in a base to support the clinical staff with administrative tasks.
ICT - Use of electronic patient records system for booking patients. Monitor and action tasks on work lists. Confident in the use of Office 365 packages especially excel, email communication and Microsoft Teams.
Team duties - To be part of a wider administration team as part of the NIMS Musculoskeletal Physiotherapy Service. The post holder will need to be flexible to support the administrative team and able to cover at other bases as required.
Quality and audit - To be actively contribute to service improvement and be involved in patient engagement and feedback.
