Pharmacy Purchasing and Distribution Assistant

Job Responsibilities
  • Support the pharmacy purchasing office using WellSky to process medicine, medical gas, supplies and consumables orders and maintain accurate stock levels.
  • Assist the invoicing manager by matching and reconciling supplier invoices, ensuring finance receives them on‑time within terms.
  • Maintain supplier relationships, resolve stock or order discrepancies, and support the goods receipt team with timely medication deliveries.
  • Provide a top‑up service to wards and clinics, pick and supply stock medicines, process returns and handle ad‑hoc requests.
  • Participate in training, quality initiatives and service audits; support the buying office, invoicing office and distribution team to meet KPIs.
  • Carry out purchasing and goods receipt duties, including order processing, urgent sourcing, out‑of‑stock queries, daily stock counts (KTAKEM), handling delays, controlled drug deliveries and ensuring compliance with GMP, orange guide and COSHH.
  • Oversee invoicing tasks: processing, reconciling and negotiating with suppliers to avoid payment delays.
  • Manage distribution: input WellSky orders, perform top‑ups via ARX robot, pick/pack medicines, check expiry dates, resolve discrepancies, maintain cleaning and safety of distribution area, support Major Accident boxes and pharmacy IT initiatives.
  • Communicate effectively and professionally, respond to stakeholders, maintain confidentiality and adhere to legal, ethical and professional standards.
  • Complete NVQ Level 2 Pharmacy Services units and other training/qualifications as required.
