Job description

We have a fantastic opportunity for a highly organised and detail-oriented Personal Assistant to join the private office of a leading British actor and producer. The role will involve providing administrative support across a varied portfolio of creative, cultural, and social impact projects, as well as wider business and philanthropic initiatives.

Reporting to the Chief of Staff, the Personal Assistant will play a key role in supporting the Principal’s professional activities. The work moves quickly, priorities evolve, and a calm, organised, solutions-focused approach is essential. This is a primarily administrative role with a strong emphasis on diary coordination, logistics, communication and maintaining momentum across multiple internal teams and external partners.

This position would suit someone who enjoys working in creative environments, whether in film, music, production, the arts, charitable foundations, media, or similar. Someone who understands the demands of supporting a public-facing figure, but is just as comfortable operating behind the scenes to help everything run seamlessly.

This is a hybrid position, with Monday, Tuesday and Thursday based in the Central London offices. The office is lively, supportive and sociable. The core hours are 9am – 6pm Monday‑Friday with flexibility required depending on the Principal’s schedule.

DUTIES INCLUDE
  • Manage an ever-changing diary and schedule, coordinating commitments across business, creative and philanthropic projects
  • Prepare agendas, briefing documents, presentations and follow‑up actions for meetings
  • Act as a trusted point of contact for internal teams and external partners, handling enquiries with warmth and discretion
  • Draft and manage correspondence on behalf of the Principal and Chief of Staff
  • Arrange complex domestic and international travel – itineraries, logistics, accommodation and briefing packs
  • Maintain clear digital filing systems and administrative workflows
  • Support the Chief of Staff with wider organisational coordination and project administration
  • Build steady working relationships with stakeholders across media, cultural institutions, charities, studios, and partners
ESSENTIAL CRITERIA
  • A minimum of 3 years of experience in a Personal Assistant, Executive Assistant or similar, ideally with a background in the creative industries, arts, media, cultural organisations, entertainment, or a purpose‑led environment is advantageous
  • Exceptional organisational and diary management skills
  • Confident communicator who is comfortable interfacing with senior stakeholders and public figures
  • Calm, grounded, and professional, even when things are moving quickly
  • Naturally proactive, takes initiative, enjoys making things run smoothly
  • Strong attention to detail and pride in work
  • Trusted with confidential information and private matters
  • Highly proficient across Microsoft Office and digital organisational tools
  • Eligible to work in the UK
