Personal Assistant

This position is a fixed term contract, expected to be for 6 months working part time, 3 days or 22.5 hours a week.

Area of responsibility

The post holder will provide professional and comprehensive personal/administrative assistant duties to nominated Directors, principally the Executive Vice President. The post holder will be expected to appropriately manage confidential, complex and sensitive information, exercising discretion and upholding high professionalism and ethical standards at all times.

Specific Tasks
  • Support coordination of meetings, organise and plan meetings and events as directed, including sending invitations, booking venues, making travel arrangements, liaising with external parties and providing relevant papers and material. Provide high quality support to ensure they are managed and delivered effectively.
  • Organise and manage documentation for meetings and events, including preparation of agendas and minutes of meetings, tracking actions and timeframes as appropriate. Ensure the Directors have been briefed and have the required documentation for all meetings/events.
  • Undertake a business support function including tracking of key objectives and specific project work.
  • Manage electronic diaries by organising and prioritising the demands on time of the EVP, UK enabling them to work efficiently and effectively. This will include arranging meetings and events both internally and externally, including booking travel and accommodation.
  • Handling correspondence and relaying messages promptly and effectively between parties.
  • Providing general administrative assistance, including document drafting, filing, and record maintenance.
  • Researching, compiling, and summarizing information to aid decision‑making processes.
  • Performing miscellaneous tasks and special assignments as needed, demonstrating flexibility and adaptability.
  • Prepare and/or edit presentations and reports on behalf of relevant Directors.
  • To take messages where necessary and act as the first point of call for the designated senior managers in their absence, taking appropriate action as required and ensuring that any urgent issues are brought to the attention of an alternative Director / Manager or senior member of staff as appropriate.
  • To raise purchase orders and approve invoices on behalf of relevant Directors.
  • To arrange team meetings/appraisals/ supervisions with employees on behalf of the EVP.
  • Documentation creation and management, including ensuring this is on Brand.
