Job description
About the role

This role requires building a close working relationship with the CSEO CIO CPO and HOP handling a range of administrative support related tasks to ensure they are maximising their time efficiently. The right candidate will be proactive with a flexible and can-do approach.

Your role will be diverse and will include but not be limited to:

  • Full management of diaries, including liaising with internal and external contacts, scheduling meetings, managing conflicts, coordinating attendees, collating and distributing agendas.
  • Processing of expenses.
  • Booking internal meeting rooms, arranging catering and IT support when necessary.
  • Meeting and greeting visitors, ensuring a welcoming experience at OMD UK.
  • Supporting booking of client or external entertainment and events, from client dinners to large industry events.
  • Occasional management of office related tasks such as IT kit or stationery ordering.
  • Opportunity to work on projects such as research reports or project management/coordination with a wider team.
  • Assisting in organising and running our agency All in Days.
What you will bring to the role

We are looking for a real team player who is positive, calm, and has a passion for finding solutions. You juggle diaries effortlessly and can deliver on short lead times. Throwing together a dinner for 10 with four days notice is a walk in the park. You know when to use discretion and show responsibility, and are aware of the difference between a WhatsApp chat and the voice used in all-client communications.

At Omnicom Media Group we are committed to supporting flexibility for our people while fostering collaboration, innovation, and teamwork. We have a hybrid working model (three days in the office, two working remotely) to ensure that we meet the needs of both our people and our business. Our standard working hours are 9:30–17:30 but we offer the ability to flex around core hours of 10:30–16:30 to give our people flexibility on how they manage their working day, whether in the office or working remotely. For example, you could start work at 8:30 and finish at 16:30 or start at 10:30 and finish at 18:30.
