Location & Travel: Commutable distance to Winchester at least twice a week

Supports Directors with administrative and personal assistant functions, so that Directors can fulfil their roles as productively as possible.

The role

  • Provides personal assistant functions for Directors, including time, inbox, diary and travel management, research and preparation of agendas, correspondence, reports, presentations, policies, maintaining IT systems (eg the relevant system, Jira, Share Point, e-signature etc) Board papers and other communication in line with meeting cycles
  • Supports administrative tasks and assignments for the function, requiring use of judgement, personal initiative and discretion
  • Facilitates effective communication and liaison between Directors within a function, the Executive Team member and other colleagues as necessary.
  • Implements improvements to increase the efficiency and effectiveness of Directors supported
  • Facilitates communications between Directors, their direct reports, and other internal and external key stakeholders as required
  • Facilitates meetings and/ or events as required to include attendance at meetings, workshops, hospitality, accommodation, meeting schedules, preparation and issue of agendas and papers
  • Provides occasional support for the Executive Team Member or other Directors across Arqiva including support of function wide events
  • Arranges payment of invoices, expenses and approvals on behalf of the Directors supported
  • Supports adherence to established governance processes within local functional area.

  • Organisational skills - has effective organisation skills, including the ability to prioritise workload, a methodical approach to work, can remain calm under tight deadlines or pressure
  • Problem solving - spots and executes opportunities to improve Executive member productivity, proactively resolves problems without being asked
  • Communication skills - collaborate with cross-functional teams, present technical info and provide training or support
  • Time Management - Ability to manage time effectively and prioritise tasks in a fast-paced environment
  • Discretion - understands importance of discretion and confidentiality, knowledge of information security protocols
  • Personal initiative - fast thinking, proactive and confident working unsupervised using own initiative
  • Experience of providing personal assistant support for Executive level senior management, including evidence of improving effectiveness and efficiency of senior management
  • Significant experience of Microsoft tools, production and proof reading of presentations and documents
  • Ability to work at speed
