Personal Assistant (Contract) – Nottingham
Contract: Full-time, 5 days on-site
Duration: 3-month contract (with a major UK retailer)
Location: Nottingham
Rate: Dependent on experience.
Overview:

We’re seeking an experienced and highly organised Personal Assistant to provide first‑class support to three senior directors within the People Leadership team — including the Vice President of People Operations, Vice President of Organisation Effectiveness, and the People Director for Retail & Operations.

This is a key role supporting senior stakeholders and ensuring day‑to‑day operations run seamlessly. You’ll manage busy diaries, coordinate meetings, and act as the go‑to person for a wide range of administrative and organisational needs.

Key Responsibilities
  • Diary & Meeting Management: Coordinate complex, high‑volume schedules, prioritising effectively and adapting quickly to last‑minute changes.
  • Meeting Coordination: Organise agendas, logistics, and follow‑ups for leadership and functional meetings.
  • Stakeholder Liaison: Serve as the first point of contact for internal and external partners, representing the directors with professionalism and discretion.
  • Travel & Expenses: Manage travel arrangements and expense reporting with accuracy and efficiency.
  • Confidential Support: Handle sensitive HR and people‑related matters (e.g. performance, payroll, and employee changes) with complete confidentiality.
  • Administrative Processes: Support HR administration, including onboarding, contract changes, leavers, and maintaining accurate employee records.
  • General Office Support: Maintain organisational charts, distribution lists, and filing systems; liaise with IT as needed.
  • Collaboration: Partner with the wider PA network across the business to ensure seamless support and provide cover when required.

  • Exceptionally organised, with a strong eye for detail and the ability to juggle multiple priorities.
  • Proactive, adaptable, and able to anticipate needs before they arise.
  • Professional and discreet, with experience handling confidential information.
  • A confident communicator, comfortable engaging with senior stakeholders.
  • Positive, collaborative, and solutions‑focused — with a “can‑do” attitude.
  • Previous PA/EA experience in a fast‑paced, corporate environment is essential; experience supporting multiple leaders is highly desirable.

This is an exciting contract opportunity to join a leading retail brand in Nottingham, working on‑site five days a week.
