Job summary

A boutique financial services firm in Mayfair seeks an experienced Personal Assistant to support senior management and handle office administration. Responsibilities include extensive diary management, organising travel, and preparing documents. Ideal candidates will have relevant EA/PA experience from financial services and excellent communication skills. This is a fully office-based contract role for 6 months with a potential extension.

The Client:

A boutique, Mayfair-based financial services advisory firm is looking for an experienced Personal Assistant to support at Managing Partner level, alongside providing office administration support.

The Personal Assistant & General Office Administration Role:

This is an involved Personal Assistant position supporting up to up to 4 senior members of the business. Day to day responsibilities will involve (but not limited to):

Personal Assistant
  • Extensive diary management and scheduling of meetings
  • Organisation of complex travel, including flights, ground transport and accommodation
  • Processing of expenses
  • Document preparation including printing and binding
  • Ad hoc support to the wider deal team
Office Administration
  • Meeting and greeting of visitors
  • Ordering of office supplies and ensuring smooth operation of meeting rooms and kitchen areas
  • Basic troubleshooting on tech issues e.g. printers, devices and escalating where needed
  • Liaising with the building management on maintenance or other office related matters
  • Organising company/staff events
Requirements for the position:
  • Prior EA/PA experience ideally from the financial services
  • Demonstrated experience providing office administration/office management support
  • Highly organised with the ability to juggle complex calendars and changing priorities
  • Ability to work in a fast paced environment and under pressure in a calm manner
  • Strong communication skills and the ability to liaise with external clients as well as internally across the company
  • Strong attention to detail
  • Ability to work with minimal supervision and a highly proactive nature
Further Details
  • Salary – competitive depending on experience up to 65K
  • Hours – 9am – 5.30pm
  • Fully office-based role, 5 days a week in the office
  • Location: Mayfair
  • Start Date: Interested candidate should be in a position to start early October
  • Duration – initially 6 months will potential extension after this time
