Job description

Our client is seeking an experienced Personal Assistant to provide high-level administrative and secretarial support to a Head of Division and senior management team within a dynamic and fast-paced directorate. The successful candidate will play a key role in ensuring the efficient running of the division and contributing to the overall success of the wider team.

The role requires a proactive, highly organised individual with excellent communication skills and the ability to manage multiple priorities under pressure. You will be working as part of a collaborative and supportive PA team, with opportunities to provide cover for other senior PAs across the directorate when required.

This position offers a hybrid working arrangement and a supportive environment that encourages work‑life balance and professional growth.

Key Responsibilities
  • Provide comprehensive secretarial and administrative support to the Head of Division and Senior Managers.
  • Act as the first point of contact for internal and external stakeholders, managing correspondence and ensuring timely responses.
  • Schedule and coordinate meetings, conference calls, and appointments with domestic and international stakeholders.
  • Prepare agendas, circulate meeting papers via OneNote, and ensure relevant documentation is available ahead of time.
  • Manage travel arrangements and itineraries for the Head of Division and team, processing related expenses efficiently.
  • Support divisional activities, including event coordination, reporting, and document management.
  • Maintain effective records and filing systems using OneNote and SharePoint.
  • Provide cover for other senior PAs across the directorate when required.

Additional Information

This role requires Security Check (SC) clearance prior to commencement. Full training and support will be provided to ensure a smooth transition into the role.
