Job summary

A reputable legal firm in Edinburgh is seeking an experienced Personal Assistant to provide comprehensive support to Partners and Fee earners. Overview

Eden Scott is working in partnership with their client, a reputable legal firm based in Edinburgh city centre to recruit an experienced Personal Assistant.

The role will principally be based in their Edinburgh office, initially fully office based, but in the long term the Firm supports a hybrid working approach. The successful candidates will provide a proactive and comprehensive PA service to Partners & Fee earners to enable them to focus their time on providing legal services to clients.

Responsibilities
  • Managing diaries, ensuring these are kept up-to-date and include all meetings and periods of absence (e.g. holidays, etc.)
  • Preparing and distributing meeting packs/working papers in advance of diarised meetings.
  • Arrange internal and external meetings including the booking of rooms, arranging refreshments and equipment as required. Checking rooms prior to meetings and liaising with other attendees.
  • Monitor the Partners email inbox and respond to emails as required.
  • Take telephone calls and taking accurate messages where required and passing messages on in a timely manner, or deal with the enquiry where appropriate.
  • Arrange travel requirements for the team.
  • Complete CMI and AML processes for their teams and assist fee-earners in organising Business Development and Marketing activities as required.
  • Assist and liaise with fee-earners and the Finance team for any financial matters including Cashroom and Billing tasks e.g. raising bank transfers requests and assisting in the production of fee letters/emails and Aderant reporting.
  • Ensure outgoing mail and enclosures are ready for collection by the mailroom.
  • Monitor post and/or e-mails as required and ensuring all relevant client related correspondence is direct to the appropriate fee earner.
Requirements

The successful candidates will have previous PA experience, Legal PA experience would be advantageous but is not essential. Strong organisation and confident communication skills will be essential as is experience using Microsoft Office packages and digital dictation. Full training will be given on other platforms which are used in the business. You will have strong attention to detail and interpersonal skills with the ability to work on own initiative and prioritise own workload.
