Iconic Resourcing are delighted to be supporting our client, a leading Scottish law firm, in their search for an experienced and highly organised Personal Assistant to join their Infrastructure team based in Edinburgh. This is an excellent opportunity for a skilled PA who is immediately available or has a short notice period, and who is looking to step into a busy and rewarding role within a professional, well-established environment. The successful candidate will provide comprehensive PA and administrative support to a team of fee earners, ensuring the smooth running of daily operations.

Key responsibilities will include:

• Producing and formatting correspondence, documents and presentations accurately using MS Office and other relevant software.
• Managing diaries, meetings, and travel arrangements, including room bookings, catering and IT requirements.
• Overseeing inbox management for partners and fee earners, ensuring effective communication and organisation.
• Supporting client and matter management processes, including client onboarding, conflict checks and engagement letters.
• Assisting with billing, invoicing and client portal submissions, as well as managing related queries.
• Preparing materials and taking minutes for team meetings, ensuring follow-up on agreed actions.
• Maintaining and updating client contact information and assisting with document storage and filing processes.
• Liaising with internal teams such as Finance, IT, Marketing and Facilities to coordinate support as needed.
• Providing assistance to other PAs and departments when required.

We are looking for someone with:

• Previous experience as a PA or Executive Assistant, ideally within a professional services or legal environment.
• Strong organisational and time management skills, with the ability to prioritise effectively in a fast-paced setting.
• Excellent attention to detail and a high standard of accuracy in all work produced.
• Strong interpersonal and communication skills, both written and verbal.
• A proactive, solutions-focused approach with the confidence to take initiative.
• Proficiency in Microsoft Office and document management systems.

• Experience working within the legal sector.
