Description
The Payroll Administrator (EMEA & Americas) is responsible for supporting the accurate and timely delivery of payrolls across multiple countries in the EMEA and Americas regions, covering approximately 1,500 employees. This is a hands‑on operational role focused on data collation, validation, vendor coordination, shared mailbox management, and service excellence. The role works closely with external payroll providers and internal stakeholders to ensure compliant, accurate, and efficient payroll operations.
What You’ll Be Doing:
Payroll Operations
- Collect, compile, and validate monthly payroll inputs including starters, leavers, contractual changes, variable pay, benefits, deductions, leave data and statutory documentation.
- Prepare and submit payroll data to external vendors and track status through to completion.
- Perform pre‑ and post‑payroll checks including reconciliations, variance analysis, and payroll summary preparation.
- Maintain accurate payroll files, audit trails, and secure documentation aligned to data protection standards.
- Support adherence to the payroll calendar, deadlines, and approval workflows
Mailbox, Query & Service Management
- Manage and monitor the shared payroll mailbox daily, ensuring timely triage, responses, and escalation as required.
- Provide accurate and professional support on payroll‑related queries with a focus on clarity, confidentiality, and service quality.
- Identify themes in queries and recommend process updates, documentation, or FAQs to improve employee self‑service.
Vendor & Stakeholder Coordination
- Liaise with external payroll vendors to ensure data accuracy, timely delivery, and prompt issue resolution.
- Collaborate with HR, Finance, Reward, and Legal on inputs, approvals, policies, and compliance matters.
Purchase Order & Financial Admin
- Coordinate annual purchase order processes for payroll vendors, including raising requisitions, tracking, and receipting invoices in alignment with Finance procedures.
- Maintain an accurate record of purchase order statuses, renewals, and vendor billing cycles.
Compliance & Continuous Improvement
- Ensure ongoing compliance with UK statutory requirements and support adherence in other jurisdictions.
- Assist in maintaining up‑to‑date SOPs, process maps, and control documentation.
What You’ll Bring:
- Hands‑on UK payroll administration experience, including statutory knowledge (PAYE, NI, pensions, statutory leave/pay, year‑end documents, etc.).
- Experience with outsourced or multi‑country payroll environments (EMEA and/or Americas advantageous).
- Previous use of HR/payroll systems such as ADP, Safeguard, Workday or Oracle.
- Strong Excel skills (lookups, pivots, audit checks, data cleansing).
- Excellent written and verbal communication skills.
- High accuracy, attention to detail, analytical mindset, and strong problem‑solving ability.
