Job Summary
The Patient Pathway Supervisor is responsible for authorising & managing the administration team, ensuring the smooth day‑to‑day running of the Administration departments and the overall delivery of services to patients and third parties. The Supervisor will act as a central point of contact for the administration team and work closely with the Patient Services Manager to develop, organise and manage day‑to‑day service delivery, implementing agreed policies and ensuring all administrators can competently perform their tasks.
Key Responsibilities
- Lead and manage the Administration team, providing support and motivation as required.
- Prepare team rotas to ensure each health centre is adequately covered.
- Monitor the workload of all administrators, ensuring efficient and effective handling of tasks.
- Work with the Patient Services Manager to organise and lead team meetings, monthly mini team talks, and PLT events.
- Remain fully conversant with practice procedures and developments, keeping the team fully updated.
- Ensure the team handles patient and visitor enquiries courteously, efficiently and confidentially.
Administration Team Duties
- Processing incoming and outgoing mail.
- Data entry of new and temporary registrations and relevant patient information.
- Scanning of patient documentation, attaching and coding scans to patient records.
- Processing DNA letters in accordance with current protocol.
- Input patient data into healthcare records as necessary.
- Process incoming test results and out‑of‑hours reports, ensuring correct referral to relevant clinicians.
- Answer incoming calls, transfer or handle callers’ requests appropriately.
- Manage all administrative queries as necessary.
- Carry out system searches as requested.
- Provide IT support to all members of practice staff.
- Taking meeting minutes.
- Maintain a clean, tidy, effective working area at all times.
- Support clinical staff with general administrative tasks as requested.
- Typing letters, reports, and related documentation.
- Process referrals to external agencies and via the electronic referral system (ERS).
- Process requests for information such as SAR, insurance/solicitor letters and DVLA forms.
- Liaise with external agencies (hospitals, community services) to ensure efficient referral processing.
- Read code data on EMIS Web.

Job Details
