A healthcare organization is seeking a Patient Pathway Supervisor to lead the administration team. The role involves managing daily operations, supporting staff, and ensuring efficient service delivery to patients. Candidates must have excellent communication skills and experience in a patient service environment. The position requires flexibility in working hours, including some evenings and Saturdays. The Patient Pathway Supervisorresponsible for the administration team and will manage the smooth day to dayrunning of the Administration departments and team. Ensuring that a high-qualityof administrative services are provided to our patients and all third parties.The Supervisor will act as central point of contact for the administration teamon a daily basis.
The post holder will workwith the Patient Services Manager to develop, organise and manage theday-to-day delivery of services to our patients.
In conjunction with thePatient Services Manager, the post holder will implement agreed policies andprocedures and ensure that all Administrators are competent in their day-to-daytasks. On a daily basis, the successfulcandidate would also be expected to undertake the duties of the Administratorsas the business needs dictates.
Responsibilities:
On a day-to-day basis lead and manage the Administration team, providingsupport and motivation as required.
In conjunction with the Patient Services manager prepare the team rotasto ensure that each health centre is adequately covered.
Monitor the day to day workload of all administrators to ensure thatthe workload is being managed effectively and efficiently.
Work with the Patient Services Manager to organise and lead teammeetings, monthly mini team time talks, and PLT events.
Be fully conversant with practice procedures and developments andensure that the team are kept fully updated.
Ensure that the team handle patients and visitors enquiriescourteously, efficiently, and confidentially.

AdministrationTeam Responsibilities:
Processing incoming and outgoing mail
Data entry of new and temporary registrations and relevant patientinformation
Scanning of patient related documentation including attaching andcoding scanned documents to patients healthcare records
Processing of all DNA letters in accordance with current protocol
Input data into the patients healthcare records as necessary.
Process incoming test results and out of hours reports, ensuring theyare referred to the relevant clinician.
Answer incoming phone calls, transferring calls or dealing with thecallers request appropriately.
Carry out system searches as requested.
To provide IT support to all members of practice staff
Maintain a clean, tidy, effective working area at all times.
Support all clinical staff with general administrative tasks asrequested.
Typing letters, reports, and associated documentation
Process referrals to external agencies such as secondary care
Process referrals using the electronic referral system (ERS)
Process requests for information i.e. SAR, insurance / solicitorsletters and DVLA forms
Liaising with external agencies such as hospitals and communityservices, ensuring referrals are processed efficiently.
