Job summary

Operose Health is recruiting a Receptionist/Administrator for Chelston Hall Surgery in Torquay. This 31-hour per week role supports a forward-thinking team delivering local primary care at scale.

You will handle patient registrations, calls, post, records scanning and vaccination support, maintaining accuracy and privacy while delivering excellent patient service.

Qualifications

  • Reception or customer care experience and excellent communication skills.
  • Basic PC skills such as Word, Excel and email.
  • Ability to work within processes and maintain data security.
  • Previous NHS experience is welcome but not essential.
  • Able to meet strict deadlines.
  • Attention to detail with a pleasant, calm telephone manner.

Responsibilities

  • Registering patients and handling registrations and deductions.
  • Answering general enquiries on reception and handling calls during sickness/leave.
  • Processing queries and directing calls.
  • Opening and sorting daily post.
  • Scanning medical records.
  • Assisting with COVID vaccination administration.
  • Providing admin support for the Flu team during flu season.
  • Responding to patient emails and taking action.
  • Covering reception during sick/annual leave.
  • Handling online service queries and applications.
  • Managing online consultations and follow-ups.
  • Processing BP monitoring forms.
  • Summarising medical records.
  • Attaching clinical letters to patient records and following up.
  • Coding hospital letters.

Salary: Up to £25,838 depending on experience

An exciting opportunity has arisen for an experienced administrator to join us at Chelston Hall Surgery in Torquay.

We are looking for an enthusiastic, dedicated and highly motivated individual to join our forward thinking, dynamic team at Chelston Hall to enhance our team and help us further develop our philosophy of integrated multi-disciplinary working. We are a friendly practice serving the local community. Our list size is approximately 18,500 patients.

Main Responsibilities

As a valued member of the Operose Health team, your key duties will include:

  • Responsibility for patient registrations and deductions
  • Receiving incoming telephone calls for general enquiry line during sickness or annual leave cover
  • Actioning/chasing up queries and passing on calls
  • Open and sort daily post (internal and external)
  • Scanning of medical records
  • Assistance with COVID vaccination administration
  • Admin support for the Flu team during flu season
  • Responding to patient emails and taking action when required
  • Flexible cover for sick/annual leave e.g on reception
  • Queries and applications for online services
  • Dealing with online consultations, including replies and follow up
  • Processing of BP monitoring forms.
  • Process GP to GP electronic medical records
  • Attach clinical letters to patient records and follow up on any action required
  • Medical record summarisation
  • Coding hospital letters.

What we look for in new colleagues:

  • Reception or customer care experience is essential as well as an excellent communicator both spoken and written.
  • Must have basic PC skills such as Word, Excel and email.
  • Able to work within processes, procedures and maintain confidently and data security.
  • Previous experience of working in the NHS is welcome but not essential.

  • Ability to work accurately and concisely with attention to detail
