Responsibilities

  • Deliver administrative assistance to departmental managers and colleagues.
  • Maintain accurate records and ensure timely communication across teams.
  • Check Penalty Charge Notices for correctness before processing.
  • Decide whether to pursue unpaid notices based on organisational impact.
  • Record income from RingGo and ensure accurate reconciliation.
  • Process invoices and liaise with Finance for payment confirmation.
  • Maintain accurate financial records in 3Sixty and Permit Smarti systems.
  • Answer incoming appeals in line with current legislation.
  • Help administer the PermitSmarti function and check eligibility.
  • Support Finance by processing instalment payments and bailiff income.
  • Triagem incoming disabled bay applications and highlight discrepancies.
  • Maintain records and perform other reasonable duties as required.

The Role and Responsibilities

We are looking for a Parking Administration Officer to ensure that parking administration is undertaken accurately and effectively in line with current legislation and that, where relevant, non-payment of charges are pursued appropriately.

In addition to this, provide support to the operational parking team activity.

As a Parking Administration Officer, you will be responsible for:

  • Delivering administrative assistance to departmental managers, colleagues, and other departments as required.
  • Maintaining accurate records and ensure timely communication across teams.
  • Responsible for checking Penalty Charge Notices are correct before they process to the next stage, to avoid Penalty Charge Notices being sent to DVLA. This would have a financial impact on the service.
  • Responsible for deciding whether to pursue unpaid notices, any decisions have an organisational impact on a financial level.
  • Recording income from RingGo and waybills; ensure accurate reconciliation.
  • Processing invoices (e.g., English Heritage) and liaise with Finance for payment confirmation.
  • Maintaining accurate financial records in 3Sixty and Permit Smarti systems.
  • Answering incoming appeals, in line with current legislation.
  • Answering incoming departmental emails, and/or pass them to responsible person.
  • Helping administer the PermitSmarti function within the department; checking customer’s eligibility and approving their applications daily.
  • Supporting Finance by processing instalment payments, bailiff income, ad hoc permit payments, and Adelante transactions.
  • Triaging incoming disabled bay applications, emailing/writing to applicants requesting further information. Highlighting any discrepancies in information to Parking Operations Assistant.
  • Maintaining records.
  • Any other reasonable duties that may be required from time to time.

  • Excellent communication and customer service skills.
  • Ability to remain calm and professional in challenging situations.
  • Good level of IT skills (Microsoft/Excel).
  • Previous experience in parking admin would be an advantage.
