Paediatric Diabetes Team Clerical Assistant

The Band 3 Paediatric diabetes team administrator requires a passionate, highly motivated and experienced administrator with excellent communication skills. Someone who wishes to continue to develop their skills and knowledge. We are excited at the prospect of supporting motivated individuals to contribute to our growing services.

Main duties of the job
  • Provide administrative and clerical support to the Diabetes Specialist Nurse Team.
  • To work in a complex multi‑professional environment and use own initiative to manage, prioritise and change workload to ensure that all data collected will stand up to external audit. It must then be inputted by the required deadlines to ensure regional and national data requirements and targets are met.
  • Answering the telephone courteously and direct enquiries as appropriate.
  • Be able to liaise with all professionals, hospital and external (GP's community teams etc.) and signpost to the necessary professional.
  • To monitor and action the Child Diabetes email inbox in a timely manner.
  • Ensure all electronic records are up to date and contain the correct information.
  • Undertake other admin duties including managing post, filing, photocopying for consultants, Band 7 Senior team and the Manager.
  • Ensure follow up appointments are in place and referrals are received in a timely manner.
  • Liaise with Diabetes Retinopathy Screening service to ensure all patients over 12 years have received and attended an appointment, follow up those who are due eye examinations and enter results onto National Paediatric Diabetes Audit Spreadsheet

Responsibility for the procurement of stock on the unit, both clerical stock and clinical stock where appropriate.

Receive and store stock appropriately, place orders as requested.

Arrange interpreters if required for Diabetes Clinics.

Qualifications
  • RSA 1 Word Processing/RSA Typing or equivalent level of knowledge and ability.
  • NVQ Level 3 in Administration.
Experience
  • Up to date knowledge or demonstrable computer literacy in order to use the following systems:
  • Electronic patient records Management of medical records Microsoft applications.
  • Knowledge of interpreter booking system and bookwise.
