Job description

We are currently looking for an outpatient dressing clinic coordinator to work in the Main outpatient Department. Ideally we would like someone who has experience in direct face to face contact with patients/clients for appointment scheduling purposes.

Reporting to the nurse in charge of the clinics that day and working closely with other members of the admin team in order to ensure the delivery of the service within NHS targets. The role will include receiving confidential and sensitive information, written, oral or verbal, to be exchanged with patients, relatives, staff or external parties.

Main duties of the job

Please see job description for full details of the role but it will essentially involve all aspects of booking appointments and amending appointments for both existing patients and new patient referrals. Ideally we would like someone with medical experience in a hospital or clinical environment who is able to work both within a busy team and on their own initiative when required. You will be computer literate and be able to manage a range of systems including clinic room allocation

They must be able to prioritise their own workload, possess excellent communication skills combined with a professional telephone manner, have a flexible and pro-active and positive attitude and remain calm under pressure.

Job responsibilities

Booking and amending appointments for patients as required

Managing capacity within the clinics and moving patient appointments if required

Ensuring all correspondence relating to patients is saved on to the Electronic Document Management systems (Evolve)

Provide and receive confidential and sensitive information written, aural or verbal, to be exchanged with patients/clients, relatives, staff or externalpartiesEnsure telephone enquiries are dealt with in a confidential, professional, tactful, sympathetic and timely manner

Communicating effectively with the nursing and medical teams to allow the ongoing clinic to work efficiently

Person Specification
Qualifications
  • Maths and English GCSE or equivalent
  • NVQ 3 or able to demonstrate knowledge within this field through practical experience
  • Customer Care Course (or equivalent experience)
Experience
  • Dealing with the public / customer service experience of computer systems
  • Familiarity with a health service environment
  • Experience of dealing with a front line reception area in a healthcare setting
  • PAS experience
Knowledge
  • Proven knowledge and application of IT processes and systems, i.e. Word, Outlook and Excel
  • Knowledge of secretarial or administrative procedures and systems including nonroutine
