Job description

We are currently looking to recruit an Outpatient Receptionist working 37.5 hours - Mon, Tues & Fri 8-6pm, Thur 8-5.30pm off Wed including Saturdays on a rota basis. Staff maybe asked to cross cover for leave/sickness so day off my alter depending on service needs.

Main Duties will include;

Checking in patients, updating contact details, booking appointments, recording clinical outcomes, booking ambulances etc. Please see job specifications for further details.

Main duties of the job

Set up OPD clinics daily. Provide reception cover for OPD clinics. Book outpatient appointments. Deal with telephone queries. Calculate & authorise patient travel expenses.

  • Collect case notes from the Medical Records Department and organise the OPD department reception desk for the current day's clinics. Follow H&S guidelines for moving and handling of loads.
  • Provide reception cover for outpatient clinics. Check and update patient details to ensure data quality is maintained. Book follow-up appointments using the PAS scheduling system. Ensure all appointment outcomes are completed and all clinics are reconciled. Record DNA's as necessary.
  • Calculate, validate and authorise patient entitlement to travel expenses following Trust policy and populate the database.
  • Process all enquiries for information/case notes both face to face and on the telephone using the PAS system, ensuring confidentiality, Caldicott and data protection guidelines are followed.
  • Liaise with County ambulance control centres to process patient ambulance transport bookings.
  • Provide cover for colleagues in the event of sickness and holidays.
  • Liaise with colleagues, secretariat, ward staff and other departments as necessary to provide a courteous and efficient ward clerk service.
