Optometry Education Coordinator

This is an exciting opportunity to join the Education Team at Moorfields Eye Hospital, an internationally renowned centre of excellence. The Optometry Education Coordinator will play a key role in delivering high‑quality clinical and academic training, including postgraduate modules, CPD courses, student placements and professional events.
You will lead coordination of administrative processes that support external commercial programmes, helping to deliver structured training, assessments and conferences. You'll also manage digital learning platforms (Moodle, MS Teams), student communications, and faculty support, continuously improving systems through automation.
Work closely with clinicians, educators, researchers and external partners to ensure the smooth planning and delivery of structured education.
Strong communication, digital and organisational skills, a flexible and solution‑focused approach are essential. Occasional weekend work is required (approx. 4‑5 times per year).
Due to the part‑time nature of this role, sponsorship is not available.
Main duties of the job
- Coordinate external clinical education activities, including CPD short courses, modules and student placements.
- Liaise with higher education partners and internal stakeholders to maintain teaching schedules, programme documentation and communications.
- Support delivery of clinical assessments such as OSCEs, written exams and professional presentations.
- Manage event logistics for in‑person and online education sessions, including annual conferences and CPD workshops.
- Administer learning platforms (Moodle, MS Teams) and ensure digital teaching content is up to date and accessible.
- Act as the main administrative point of contact for students and clinical educators, managing course queries and onboarding.
- Develop and document departmental standard operating procedures and identify opportunities for process automation (e.g. MS Forms or Power Automate).
- Provide administrative support to governance meetings, including minute‑taking and action tracking.
- Contribute to quality assurance processes, internal audits and compliance with regulatory and data governance standards.
- Work flexibly to support evolving educational needs within the department.

Job responsibilities
The education coordinator will be a key member of the Commercial Education team, supporting the coordination and delivery of high‑quality clinical and academic programmes.
Key responsibilities include:
- Programme and Course Administration – coordinate delivery of clinical education activities, maintain teaching timetables, liaise with stakeholders and support administration of digital learning platforms.
- Event and Conference Coordination – plan and deliver logistics for in‑person and online events, manage delegate registration, AV/tech setup, room bookings, catering and evaluation surveys.
- Assessment Administration – support delivery of assessments, prepare materials, coordinate schedules and track outcomes.
- Student and Faculty Support – act as primary administrative contact, coordinate onboarding, communications and progression tracking, collate feedback.
- Process Development and Automation – lead documentation of workflows, identify opportunities to streamline manual processes, support training of colleagues.
- Governance and Departmental Support – provide secretariat support to Clinical Education Committee meetings, liaise with Trust departments, contribute to audits, accreditation and quality assurance activities.
Person Specification
Qualifications
- Educated to A-level or equivalent experience.
- Evidence of continuing professional development.
- Degree or relevant qualification in administration, education or project coordination.
Experience
- Administrative or coordination role experience.
- Experience supporting events, training programmes or courses.
- Experience working independently to manage multiple priorities.
- Experience in an NHS, university or clinical education setting.
- Experience supporting delivery of postgraduate modules or clinical exams.
- Familiarity with educational regulations and clinical competency framework.
Knowledge
- Proficiency in Microsoft Office (Word, Excel, Outlook, Teams).
- Ability to produce accurate written documents, guidance notes and SOPs.
- Experience using Moodle or similar virtual learning environments.
- Understanding of optometry or clinical training pathways.
- Familiarity with NHS policies and administrative systems.
Skills
- Strong organisational and time management skills.
- Ability to produce course evaluations and impact reports.
- Experience with booking platforms (Eventbrite), automation tools (MS Power Automate) or surveys (MS Forms, SurveyMonkey).
Other requirements
- Willingness to work occasional weekends (approx. 4‑5 per year) – Time Off in Lieu will be provided.
- Willingness to travel to other sites within the Trust if required.
