Job summary

TRIP is seeking an Operations Systems Specialist to maintain and improve our global supply chain data and systems. You will own day-to-day processes, ensuring stock, production, financial and order information aligns across UK and US operations.

A key focus is identifying root causes of data issues and reducing manual work through better processes and automation. You will collaborate with Finance, Supply Chain, Operations Analyst and external partners, working with Unleashed, Xero and partner

Qualifications

  • Typically 2–4+ years’ experience in operations systems, supply chain analysis or ERP support.
  • Hands-on experience with ERP/inventory/warehouse systems.
  • Strong Excel/Google Sheets skills and data manipulation.

Responsibilities

  • Monitor transactions (production, stock transfers, invoicing).

Location: Notting Hill, London — four days in the office and one from home

THE ROLE

As our Operations Systems Specialist, you’ll keep the systems and data behind TRIP’s global supply chain accurate, connected and running smoothly.

You’ll take ownership of the day-to-day processes that keep our stock, production, financial and order information aligned across our UK and US operations. A key part of the role will be identifying why data or stock movements don’t reconcile, getting to the root cause and improving the underlying process rather than repeatedly correcting the same issue.

Alongside resolving problems and maintaining reliable reporting, you’ll identify practical opportunities to reduce manual work through better processes, integrations and automation.

Reporting to our Head of Operations Europe, you’ll work closely with Supply Chain, Finance, our Operations Analyst and external warehouses, manufacturers and technology partners. Our operational systems include Unleashed, Xero and a number of partner platforms, so you’ll enjoy understanding how information moves between different tools and troubleshooting when something doesn’t work as expected.

This is an operational systems role rather than a software engineering position. You’ll be expected to confidently use systems, data and automation to improve how Operations works, partnering with technical specialists where more complex engineering or development support is required.

It’s a hands‑on role with visible impact. From improving stock reconciliation to automating production transactions, your work will help our teams spend less time fixing data and more time supporting TRIP’s growth.

WHAT YOU’LL DO
Keep our operational systems and data accurate
  • Own stock reconciliation across our UK and US supply chains, investigating discrepancies and working with Supply Chain, Finance and external partners to deliver timely and accurate month-end closes.
  • Maintain accurate master data within Unleashed, including SKUs, bills of materials, product information and relevant stock records.
  • Monitor the accuracy and completeness of operational transactions, including production assemblies, stock transfers, inventory adjustments and invoicing flows.
  • Partner with Finance to ensure inventory balances, stock provisions, write-offs and operational transactions reconcile accurately at month end.
  • Maintain reliable stock and reconciliation reporting to support Finance and Supply Chain.
  • Investigate data and inventory discrepancies to understand their root cause and implement changes that prevent recurring issues.
Keep our systems connected
  • Manage, monitor and troubleshoot integrations between Unleashed, Xero and other operational systems, alongside EDI connections with warehouses, customers and trading partners.
  • Support the setup, testing and launch of new partner connections, ensuring information flows accurately before and after implementation.
  • Monitor integration performance and investigate missing, delayed or inconsistent transactions.
  • Work with external warehouses, manufacturers and technology partners to standardise reporting formats and improve data quality.
  • Identify recurring systems issues and work with internal and external partners to implement practical, sustainable solutions.
Make our processes better
  • Identify and deliver opportunities to reduce manual work, improve accuracy and make operational processes faster and more reliable.
  • Build and maintain practical automations supporting areas such as stock reconciliation, production assemblies, operational transactions and reporting.
  • Apply AI and automation tools where they can deliver measurable improvements within Operations and Supply Chain.
  • Test changes before rollout and monitor automated processes to ensure they remain accurate and reliable as volumes and complexity grow.
  • Work alongside our Operations Analyst to maintain consistent operational data and reporting across the UK and US.
  • Partner with technical colleagues or external specialists where a solution requires more complex engineering or systems development.
Help the team work confidently
  • Maintain and improve operational reporting, dashboards and performance measures, highlighting exceptions and helping teams understand what requires attention.
  • Document key operational processes, system integrations and troubleshooting steps, keeping guidance clear and up to date.
  • Train and support colleagues using relevant systems and workflows so knowledge is shared across the team.
  • Support the introduction of new operational tools and processes, ensuring users understand how and why they should be used.
  • Prioritise issues and improvement opportunities according to their impact on stock accuracy, operational continuity and reporting deadlines.
ABOUT YOU

You enjoy understanding how things work, spotting what could work better and following a problem through to a practical solution.

You’re comfortable combining detailed operational work with systems and data problem-solving, and you enjoy working across different teams to get to the root of an issue.

You’ll be equally comfortable investigating a stock discrepancy, understanding why information hasn’t flowed correctly between two systems, improving a reporting process or finding a way to automate repetitive work.

What you’ll bring
  • Typically 2–4+ years’ relevant experience within operations systems, supply chain analysis, inventory control, ERP support or a similar operational role.
  • Experience working in a business managing physical inventory, ideally within FMCG, food, drink, consumer goods or another stock-led environment.
  • Hands‑on experience using ERP, inventory or warehouse management systems.
  • A strong understanding of stock movements, inventory reconciliation, production transactions and operational reporting.
  • Strong Excel or Google Sheets skills, with confidence manipulating data, investigating discrepancies and checking accuracy.
  • Experience improving a process or automating a repetitive task, with a clear understanding of the outcome you delivered.
  • A good understanding of how data moves between systems and a methodical approach to investigating problems.
  • Confidence working with operational colleagues, Finance teams and external partners such as warehouses, manufacturers or technology providers.
  • Clear communication skills and the ability to explain systems or data issues to both technical and non-technical colleagues.
  • Strong attention to detail, ownership and the ability to prioritise effectively in a fast-growing business.
  • A practical interest in AI and automation, focused on making everyday work more reliable, scalable and efficient.
It would be a bonus if you also have
  • Experience within food, drink, FMCG or another fast-growth consumer brand.
  • Familiarity with Unleashed, Xero, Shopify or EDI integrations.
  • Experience working with third‑party logistics providers, external warehouses or contract manufacturers.
  • Experience using SQL or working with data warehouses such as BigQuery or Snowflake.
  • Experience building workflows using Google Apps Script, n8n or similar automation tools.
  • Experience using Power BI or another reporting and visualisation platform.

You don’t need experience with every tool listed. We’re more interested in how you approach problems, what you’ve improved and your ability to learn quickly.
