Location: London (Hybrid 2-3 days in theoffice)

Do you already work as an Operations Manager or are you a highly regarded PA/EA ready for a senior operational position?

This is your opportunity to join Just Us Financial Solutions, a respected, well-established financial planning and mortgage advice firm based in the City of London. What you'll be doing
Operational Rhythm & Team Coordination
  • Running weekly team meetings and tracking actions.
  • Managing workflows, workloads, and internal deadlines.
  • Supporting staff with development, exams, and progression.
  • Keeping the team focused, steady and moving in the right direction.
Client Journey & Experience
  • Overseeing client onboarding from first booking to completed advice.
  • Ensuring documentation is accurate and compliant.
  • Managing annual review cycles and service standards.
  • Liaising with clients professionally and warmly when needed.
Compliance Support (coordination only)
  • Pre-file checks and case preparation.
  • Managing submissions and Worksmart tasks.
  • Updating templates and documentation.
  • Liaising with the Quilter Relationship Manager.
Business Infrastructure & Systems
  • Maintaining systems: Xplan, calendars, Mailchimp, internal tools.
  • Updating SOPs, processes, and firm-wide documents.
  • Supporting branding/operational projects for the 2026 relaunch.
  • Managing suppliers, subscriptions, and office operations.
Supporting the MD & Protecting the Business
  • Filtering operational noise before it reaches the MD.
  • Handling provider queries, document chasing and bottlenecks.
  • Ensuring the team stays organised, calm, and productive.
  • Helping the business scale smoothly during ongoing growth.
What were looking for
  • Executive Assistant or Team Coordinator (banking, legal, PE, insurance).
  • Office Manager in professional services.
  • Operations/Admin Manager in an IFA or wealth firm.
  • Paraplanner/admin who prefers structure over client work.
  • Pensions or insurance operations.
