Job description

This is an excellent opportunity for a highly motivated and well-organised individual to join the Primary Care Network Leadership Team at Coastal PCN. The role will be to support the PCN Board to deliver the ambitions of the network and will involve a range of operational and administrational responsibilities.

Main duties of the job

The Operations Lead will have responsibility for various functions within the PCN, including coordinating operational delivery, managing and maintaining data and IT, coordinating staff rotas and holidays, maintaining accurate records and overseeing the communication throughout the team. They will also support managers with the financial management, resourcing and regulatory compliance of the work of the PCN. This will be a development post and will suit an ambitious individual who is looking to develop into a management role.

Our PCN has a population of over 29,000 people set on the beautiful south coast of Cornwall, incorporating 4 practices in close proximity, with excellent inter-relations and a long history of successfully working together. Our population is diverse compared to other areas in Cornwall, with varying levels of socio-economic status, young families and elderly patients all of whom make providing care very interesting.

We are highly passionate about providing good quality patient care and all four practices regularly appear in the top ten practices in Cornwall for patient satisfaction.

Job responsibilities
  • Ensure effective and efficient communication is managed across the four practices and the PCN teams.
  • Coordinate and attend key meetings in the PCN calendar.
  • Take and circulate minutes at PCN meetings such as the Board and individual team meetings.
  • Under supervision produce essential data and reports to share with the Board.
  • Be first line contact for all system queries and requests.
  • Manage and maintain comprehensive staff files.
  • Monitor and ensure contractual obligations are being met and chase practices who are behind.
  • Submit claims and data through the central systems as required.
  • Monitor and coordinate staff training.
  • Be responsible for maintaining a comprehensive policy index and update this under supervision.
  • Maintain up to date register and contract information on all suppliers.
  • Maintain an asset register of all PCN equipment and arrange for annual updates/service/calibration.
  • Keep updated on all software/system changes and cascade to colleagues as necessary.
  • Lead on recruitment of new posts.
  • Support the managers to ensure that compliance responsibilities are met.
Person Specification
Qualifications
  • GCSE English and Maths
  • Educated to Level 3 as a minimum.
  • Administrational qualification ie IT or Project Management
Experience
  • 3 years minimum working in an administrational setting.
  • IT competent on all Microsoft packages.
  • Excellent written and verbal communication skills.
  • Experience of working in a Primary Care setting, preferably GP surgery or similar.
  • Previous experience of working with a patient records system such as Systm1 or Emis.
