About The Role & Team

The purpose of the role is to support the Operations Manager in the delivery of day to day operational efficiency and compliance maintaining high standards across asset management and tenancy services in order to meet all regulatory requirements. The role will be office based at our head office in Uxbridge with travel required to sites.

Key Responsibilities
  • Support the Operations Manager with day to day activities including data capture and data analysis.
  • Deliver a range of administrative support to the team.
  • Maintain accurate records, logs, and filing systems in line with GDPR and company policy.
  • Ensure all tasks are completed in line with regulatory requirements, internal controls, and customer service standards.
  • Collaborate with internal colleagues and external stakeholders.
  • Maintain accurate and up to date records for all property assets, including lifecycle tracking and maintenance history.
  • Reorganise files using a newly agreed folder hierarchy, maintaining accuracy and consistency throughout.
  • Maintain on CRM and asset data base system, compliance tracking (e.g. safety certifications, inspections, EPCs, etc.).
  • Prepare and submit statutory reporting required by the Regulator for Social Housing (RSH).
  • Liaise with managing agent/s to collect compliance data to maintain assurance of health and safety compliance and service charge data.
  • Support the Operations Manager in all aspect of project delivery.
  • Review plans, drawings and assist with technical assessments of projects against GLA Housing Design Standards.
  • Assist with preparation and data capture for GLA Audits.
  • Assist with rent collection, annual rent reviews and service charge updates.
  • Provide data and reports to support monthly and operational reporting.

  • Proficient user of Microsoft Suite (EG Excel, Word, PowerPoint).
  • Shows a strong interest in property management and compliance.
  • Experience in financial analysis, data capture and data analysis.
  • Excellent attention to detail and strong organisational skills.
  • Ability to manage multiple priorities and meet tight deadlines.
