Job Summary

Reporting to the Operations Manager, the Operations Assistant will support the smooth running of Vertis Health’s commissioned and private services. The role focuses on administration, compliance and data management, ensuring operational teams provide high‑quality patient care. The successful candidate will manage essential administrative tasks, update records, coordinate services and act as a key point of contact within the operations team.

Main duties

The Operations Assistant provides comprehensive administrative, operational and communication support: managing enquiries, maintaining accurate records, coordinating schedules, supporting onboarding, ensuring NHS and CQC compliance, preparing reports, supporting procurement, collaborating with HR and Finance, and contributing to meeting agendas and minutes. The role also assists with marketing and communications activities, maintains confidentiality and pursues required training.

Responsibilities
  • Provide all aspects of administrative support to the Operations Manager and wider team.
  • Work to deadlines, respond flexibly to changing demands.
  • Attend and participate in meetings, training courses and appraisals.
  • Manage telephone calls and act as point of contact for all enquiries.
  • Handle communication with internal and external stakeholders via email.
  • Support the running of the office, general duties and office administration.
  • Monitor and manage patients on clinical systems (EMIS Web, ERS, Semble, others).
  • Maintain accurate records and complete data entry tasks for operational activities.
  • Assist in service scheduling and workforce coordination using Lantum or other scheduling software.
  • Onboard all new self‑employed staff, ensuring correct documentation and IT access.
  • Support preparation of reports and data summaries for management, tracking KPIs.
  • Support procurement processes, managing supplies and liaising with suppliers.
  • Work collaboratively with other departments such as HR and Finance.
  • Support internal meetings, preparing agendas, taking minutes and following up on action points.
  • Help coordinate marketing and communications activities, supporting service promotion.
  • Ensure confidentiality and data security when handling sensitive information.
  • Stay on top of eLearning modules and raise opportunities for further training or CPD.
