A Vacancy at University Hospitals Coventry and Warwickshire NHS Trust.

The purpose of the role is to provide operational and senior administrative support to services within a clinical group. The role will support the operational delivery of a high quality, efficient and patient-centred service in line with national and local Key Performance Indicators (KPI’s).

The post holder will provide operational support to the service leadership team in the smooth running of the service. The post will specifically help support the Operations and Performance Manager in the management of administration teams and functions, waiting list management and scheduling of patients to ensure that KPIs and national NHS standards are met, within available resources, ensuring effective patient care within a timely manner.

The role will include line management, provision of complex or sensitive information across a wide range of teams and collaboration with a multidisciplinary team to enable delivery of patient care.

Responsibilities:

  • 1. Daily operational leadership of the gynaecology Patient Tracking List (PTL) ensuring prompt and robust progression of each patient’s clinical pathways.
  • 2. Taking a leading role in managing all urgent and suspected cancer key performance indicators.
  • 3. Serve as the primary point of contact fully integrating with the cancer Medical Secretaries, MDT Coordinator, Consultant Gynaecology Oncologists, Clinical Lead, Cancer Services Team and Senior Operations Manager to support effective processes and communication flow to close actions promptly improving performance.
  • 4. Support dynamic demand and capacity modelling to reduce patient access times to care.
  • 5. Working with the wider team to taking a leading role in progressing the UHCW Gynaecology Cancer Action Plan (Based upon the BTP), key priorities will include service redesign to increase Straight to Test (STT) capacity, reduced DNA rates and increased diagnostic capacity.
Operational Management
  • Lead admin and clerical teams, ensuring compliance with training, appraisals, and sickness policies.
  • Manage inpatient and outpatient waiting lists, coordinating with clinical and support teams.
  • Oversee cancelled operations and DNA rates, ensuring timely rescheduling and improved clinic capacity.
  • Analyse waiting list data to support planning and resource use.
  • Review performance metrics and support delivery of business case benefits.
Service & Business Development
  • Support implementation of business cases, IT upgrades, and service improvement projects.
  • Contribute to demand and capacity modelling and service planning.
  • Lead delegated projects to meet service objectives.
Team & Organisational Development
  • Promote a collaborative culture with effective communication.
  • Ensure staff development through appraisals and training aligned with the Knowledge and Skills Framework.
  • Organise workshops, meetings, and away days to support team growth.
  • Develop SOPs, continuity plans, and working documents.
Leadership & Support
  • Provide management cover and support senior leadership.
  • Coordinate clinical leave, travel, and expenses in line with Trust policies.
  • Handle patient complaints and incidents per Trust procedures.
  • Share complex business information across departments.
  • Assist project groups and committees as needed.
