Job summary

Isomorphic Labs, based in London, seeks an Onboarding and Orientation Coordinator to streamline the candidate and employee journey across offices in London, Lausanne, and Boston. You’ll be the first touchpoint, ensuring a welcoming, compliant ramp-up and seamless integration into our mission-driven team.

You’ll manage pre-employment checks, Right-to-Work, relocation logistics, and use Greenhouse Onboarding to guide new joiners and managers.

Qualifications

  • Experience in onboarding/HR admin in a fast‑paced tech/startup environment.
  • Strong understanding of GDPR and data privacy principles, especially for sensitive data.
  • Experience with global mobility, immigration, or right‑to‑work compliance in a global company.
  • Exceptional organisational and coordination skills with a proven track record of managing multiple priorities.
  • Excellent communication and interpersonal skills with diverse backgrounds.
  • Get stuck in attitude and proactive; comfortable with ambiguity.
  • Passion for Isomorphic Labs' mission to solve all disease.

Responsibilities

  • Support the delivery of a world‑class onboarding experience, as primary contact for new hires from offer to 90th day.
  • Coordinate onboarding across time zones (London, Lausanne, Boston) and country-specific compliance.
  • Manage pre‑employment and compliance stages (background checks, right‑to‑work checks, relocation).
  • Oversee Greenhouse Onboarding platform, ensuring tasks and communications are up-to-date.
  • Coordinate onboarding logistics from equipment setup to immersive welcome sessions.
  • Use feedback to propose improvements to scale onboarding and orientation.
  • Build strong relationships with Talent Partners, People Partners, Hiring Managers and other teams.

Your impact

As an Onboarding and Orientation Coordinator at Isomorphic Labs, you will be the operational engine at the heart of our talent strategy. You will be responsible for supporting onboarding operations and coordination, ensuring our candidate and employee journey is seamless and world-class. You’ll be the first critical touchpoint in a new hire’s journey, ensuring they are not only welcomed but are fully integrated and compliant, accelerating their ramp-up period and setting the foundation for their long‑term success and contribution to our mission.

Key Responsibilities
  • Support the delivery of our world‑class onboarding experience, acting as a primary point of contact for all new hires from offer acceptance through to their 90th day, ensuring a welcoming and seamless transition into the company.
  • Coordinate seamless onboarding across time zones, supporting London, Lausanne and Boston cohorts, and navigating the nuances of country specific employment compliance (e.g., Right to Work).
  • Support the management of pre‑employment and compliance‑driven stages for new hires, including background checks, right‑to‑work checks, and relocation logistics.
  • Manage the Greenhouse Onboarding platform, ensuring tasks and communications to new joiners, managers, and other stakeholders are up‑to‑date and create the warmest possible welcome experience.
  • Coordinate onboarding logistics, from system and equipment setup to scheduling immersive welcome sessions that bring our culture and mission to life.
  • Utilise feedback and survey data to propose ways to further enhance and scale the onboarding and orientation program.
  • Build strong relationships with internal partners (Talent Partners, People Partners, Hiring Managers, and other key operational teams) to ensure a cohesive, efficient, and supportive onboarding experience for every new hire.
Skills and qualifications
Essential
  • Proven experience in a similar role such as Onboarding Coordinator or HR Administrator in a fast‑paced tech or start‑up/scale‑up environment.
  • Strong understanding of GDPR and data privacy principles, particularly regarding the handling of sensitive personal identification and background check data.
  • Experience with global mobility, immigration, or right‑to‑work compliance in a global company.
  • Exceptional organisational and coordination skills, with a proven track record of managing multiple competing priorities with meticulous attention to detail.
  • Excellent communication and interpersonal skills, with a natural ability to build trust and rapport with people from diverse backgrounds.
  • A "get stuck in" mentality and high levels of proactivity; no task is too big or too small.
  • Comfort with ambiguity and the ability to thrive in a changeable environment where you can implement creative and innovative ideas.
  • A deep passion for supporting Isomorphic Labs' long‑term mission to solve all disease.
Nice to have
  • Experience with Greenhouse ATS, including their onboarding platform.

Hybrid working

It’s hugely important for us to share knowledge and build strong relationships with each other, and we find it easier to do this if we spend time together in person. This is why we follow a hybrid model, and would require you to be able to come into the office 3 days a week (currently Tuesday, Wednesday, and one other day depending on which team you’re in).
