Responsibilities

  • Prepare and execute vouchers with accuracy and timely submission.
  • Assist with preparing and reconciling expense reports; track and submit receipts.
  • Manage documentation, tracking, and coordination of administrative contracts.
  • Support accounts receivable tasks, including invoice tracking.
  • Send, track, and file electronically signed documents.
  • Provide light assistance with marketing tasks and events.
  • Schedule and coordinate meetings for brokers and team members.
  • Prepare printed and bound materials for presentations.
  • Perform additional administrative tasks as needed.

Office Services Coordinator

Location: Irvine, CA (ONSITE)

Duration: 12/4/2025 – 4/24/2026 (Possible extension & potential to convert to FTE)

Hours: 8:30 AM – 5:30 PM, Monday–Friday (Subject to change) | 40 hours

Pre-screening: Microsoft office assessments

Work Environment / Team Overview: The resource will be assigned to work with a broker and a shared team, providing administrative support in a fast-paced professional environment.

Summary: As an Office Services Coordinator, you will provide administrative support to a small team or department, assisting with daily operations, documentation, scheduling, and general office services.

Typical Responsibilities
  • Voucher Processing: Prepare and execute vouchers with accuracy and timely submission.
  • Expense Management: Assist with preparing and reconciling expense reports; track and submit receipts.
  • Administrative Contract Support: Manage documentation, tracking, and coordination of administrative contracts.
  • Accounts Receivable (AR): Support AR tasks, including invoice tracking, follow‑up, and basic reporting.
  • DocuSign Management: Send, track, and file electronically signed documents.
  • Marketing & Event Support: Provide light assistance with marketing tasks and internal/client events.
  • Calendar Management: Schedule and coordinate meetings for brokers and team members.
  • Printing & Binding: Prepare printed and bound materials for presentations and client meetings.
  • General Administrative Support: Perform additional administrative tasks as needed.
Must-Have Skills
  • Strong verbal and written communication skills.
  • Ability to collaborate effectively across teams.
  • Proficiency in Microsoft Excel, Word, and PowerPoint.
