Job description

We are looking for a highly organized and proactive Office Manager to support the launch and ongoing operations of our brand-new R&D Center in Singapore. In this pivotal role, you’ll be instrumental in creating an exceptional workplace experience, supporting our local team, and ensuring seamless collaboration with our global colleagues.

As an Office Manager you will be part of a Global Site Operations team and will play a key role in setting up our new Singapore R&D Center and establishing smooth day-to-day operations. You will support local team members, welcome visiting colleagues and partners, and serve as the main point of contact for office-related matters, facility and vendor management, and services.

Additionally, you will work closely with global counterparts to ensure alignment, share best practices, and meet key milestones; foster a positive and engaging workplace environment through thoughtful coordination of events, team activities, and general office upkeep. You will need to handle ad-hoc tasks with enthusiasm—whether it's ordering supplies, troubleshooting an issue, or organizing a team lunch.

What We’re Looking For:
  • 5+ years experience in a similar Office Manager or Workplace Operations or Facilities role.
  • Experience of handling day to day office administration e.g. invoicing and working with suppliers and service providers
  • Friendly, approachable, and service-oriented with a “no task too small” mindset.
  • Proactive and self-motivated, with excellent organizational and problem-solving skills.
  • Strong communication skills and the ability to work effectively with cross-functional teams.
  • Comfortable working independently while also being a collaborative team player.
  • Familiarity with setting up new office spaces is a plus.
Responsibilities
  • Serve as the first point of contact for all colleagues, guests, and clients, delivering an exceptional welcome and a consistently high standard of service.
  • Handle office operations-related enquiries from staff and visitors, always ensuring efficient and helpful responses.
  • Responsibility for a smooth running and presentation of the office environment, liaising with cleaning services, facilities, and engineering teams, recommending and executing on improvements when approved.
  • Assist with the organization and administration of company events, including internal meetings, conferences, business travel, and social functions.
  • Act as a liaison for global procurement team in managing local procurement activities, including shipping, receiving and invoicing at the R&D Center.
  • Manage incoming and outgoing post and deliveries, coordinating with internal teams and building security.
  • Maintain stock of office supplies including stationery, food, and beverages, ensuring availability for both staff and guests.
  • Partner with Physical security and landlord to administer access card processes for new joiners, leavers and visitors, including the issuance of replacements as needed.
  • Support colleagues with travel management arrangements and expense management processes.
  • Act as on-site HSE representative (training provided), ensuring appropriate health & safety provisions are in place and are being followed. Support accident and incident reporting processes in accordance with company procedures.
  • Undertake any additional duties required to support colleagues, clients, and the wider business as necessary.
  • Coordinate required training for staff supporting first aid and fire warden roles.

  • Excellent command of the English language, both verbal and written.
