Job summary

DEPT is expanding its Manchester team with an Office Manager role for three days per week. You will ensure smooth front-of-house operations, manage office supplies and facilities, and support People & Culture tasks across the UKI network.

This role emphasizes stakeholder management and a hands-on approach to maintaining a welcoming office environment. You will work closely with IT support, reception, and external suppliers, taking pride in a tidy, efficient space and contributing to DEPT’s

Responsibilities

  • Front of House operations: manage client experience, hospitality, meeting room arrangements; post and courier services; office supplies and procurement; maintain space cleanliness; liaise with IT support; share information in real time; train as first aider and fire warden; liaise with reception and suppliers.
  • Office Management tasks: track office expenditure; maintain inventory of furniture; liaise with landlords and facilities providers; support other offices; maintain records with Office Experience Lead; support sustainable practices aligned with B Corp.
  • Office Culture tasks: align UKI and Toronto teams; own Manchester events; manage internal communications; support global ad hoc projects.

This role is at the center of our Holding team in London and Manchester. We’ve got a mix of skills here, from Finance and Hospitality to Recruitment, People & Culture, IT Support and Marketing. As the Office Manager for DEPT® Manchester, you'll act as the central point of contact in our office, ensuring exceptional service for both clients and Depsters.

Collaborating with our UKI office team, you’ll cultivate an environment of warmth and inclusivity, fostering a sense of value for everyone.

We're seeking a personable and approachable individual with strong stakeholder management skills, who understands the importance of every task, no matter its size. Alongside front of house duties, you’ll also manage the office operations. The office space will be yours to manage so it is important that you take pride in your work and want to make the office look and feel the best that it can be.

THE ROLE
  • Part-time role in the office 3 days a week
  • Tue-Thur: 8:30 - 17:00 (with a reasonable expectation of flexibility)
WHAT YOU’LL DO
Front of House operations:
  • Maintain the smooth operation of the Manchester office by managing client experience, hospitality orders and meeting room arrangements
  • Oversee & arrange post and courier services
  • Manage office supplies and procurement
  • Maintain office cleanliness and the look and feel of the space (e.g. emptying bins, restacking the dishwasher)
  • Work closely with the IT site support to report all issues with equipment
  • Share office information to all staff on a real-time basis
  • Be willing to train as a first aider and fire warden
  • Liaise and establish a good relationship with building reception and suppliers
Office Management tasks:
  • Support the People team with office-related onboarding & offboarding tasks
  • Tracking office expenditure against budget
  • Maintain inventory of office furniture
  • Oversee and become the point of contact for our landlords and soft facility management providers such as plant maintenance, cleaners, etc
  • Provide direct support with Office Management tasks for other offices
  • Work with the Office Experience Lead to maintain accurate records of contacts and certificates
  • Adhere and support sustainable practices across the Manchester office in alignment with DEPT® B-Corp certification
Office Culture tasks:
  • Help unify the UK, Irish and Toronto teams to provide greater alignment across our offices to ensure a similar experience for staff with support on larger local events and team wide activities
  • Own Manchester social and cultural activities and provide support to the Office Experience Lead when planning events across UKI
  • Own regular internal communication moments such as intranet, newsletters and local communications
  • Support with global ad hoc projects to the wider business
