Overview

Responsible for managing the daily operation of the office staff, ensuring accuracy and efficiency in handling all vehicle and repair-related paperwork.

Responsibilities
  • Supervising the office support staff and fostering a high standard of professional customer service, acting as the primary point of contact for staff queries.
  • Providing staff training and promoting professional development within the administrative team.
  • Checking and managing the time sheets and attendance records for all office and support staff.
  • Ensuring the smooth and efficient functioning of all administrative tasks that directly support the workshop's output.
  • Managing customer inquiries regarding repair scheduling, providing vehicle status updates, and coordinating final vehicle collection.
  • Organising and maintaining all official files, records, and documents, with a specific focus on insurance claims, repair estimates, and job cards.
  • Coordinating internal communications between the administrative team, workshop technicians, and senior management to optimize workflow.
  • Working in close collaboration with the accounts department on financial procedures, job costing, and processing insurance invoices to ensure efficient budget management.
  • Assisting with the scheduling of appointments and meetings for senior staff.
  • Supporting the implementation and adherence to all company policies and procedures.
