We are looking for a confident Office Manager with a passion for delivering outstanding care. You'll be working 37.5 hours a week (Monday Friday 9am 5pm), making a positive difference to the lives of the people in our care at Cygnet Hospital Harrow.Cygnet Hospital Harrow provides a recovery focused service treating a wide range of mental health problems. We also offer specialist diagnostic, assessment and inpatient services for individuals with mental health needs and who also have a dual diagnosis of autism spectrum disorder.

The role:To provide managerial and administrative support to the hospital by managing the day-to-day functions of the administrative services. Also to provide Line Management and supervision for admin roles including Reception, Medical Secretaries/ Ward Administrators and Accounts Administrator.

The role:

To provide managerial and administrative support to the hospital by managing the day-to-day functions of the administrative services. Also to provide Line Management and supervision for admin roles including Reception, Medical Secretaries/ Ward Administrators and Accounts Administrator.

  • Oversee the Administrators within the Hospital.
  • Deputise for the General Manager as required.
  • Step into cover administration roles as necessary.
  • Collate the On-call rota/s.
  • Monitor staff performance in accordance with Cygnets policies & procedures.
  • Prepare agenda for Head of Department meeting, attend and take minutes.
  • Develop/implement/review local and Cygnets procedures.
  • Ensure that there is adequate cover for periods of leave of the members of the administration department.
  • Assist in business development/ marketing activities.
  • Investigate performance and conduct issues according to company policy.
  • Responsible for overseeing stationary supplies.
  • An ability to minute complex meetings.
  • Ability to work on own initiative and to deadlines.
  • The post-holder will report to the General Manager, however some accountabilities will lie with the Hospital Manager and Clinical Manager.
  • Use a range of software, including email, spreadsheets and databases.
  • Ensure meeting rooms and training room are setup according to conference requests.
  • Assist in the finance function of the Hospital.
