Job description
Overview

Office Manager/Administrator. Type: Full time, Temporary. Location: Durham. Hourly Rate: Up to £17.47. This role plays a key part in keeping the school running smoothly by looking after its admin and financial systems. They work closely with the Head Teacher and help make sure everything behind the scenes is well organised and efficient.

Responsibilities
  • Plan, develop, organise and monitor administrative support systems, procedures and policies
  • Prepare and complete documents and returns in relation to admissions and registration procedures and transfers to and from other schools
  • Provide support, advice and guidance on administrative issues to the senior leadership team, governing body and others
  • Provide assistance to the Head Teacher with arrangements for staff appointments ensuring DBS checks are completed
  • Be responsible for ensuring the ordering of supplies and equipment for the school including issuing of invoices and ensuring settlement of accounts
  • Support the Head Teacher in the area of health and safety
  • Liaise with other staff, pupils, parents/carers and external agencies as appropriate
  • Develop and maintain records and information systems
  • Undertake analysis and evaluation of data, and produce ad hoc detailed reports and information as appropriate
  • Be responsible for completion and submission of forms, returns etc., including those to outside agencies
  • Produce, and respond to, correspondence as directed by the Head Teacher and Senior Leadership Team
  • Manage and monitor the school's financial processes and budgets in accordance with the school's financial procedures
  • Be responsible for the counting, receipt and banking of all monies in accordance with the school's procedures
  • Manage the petty cash account and allocate petty cash monies as authorised by the Head Teacher in accordance with the school's procedures
  • Contribute to marketing and promotion of the school including aspects of the school website as agreed
  • Arrange supply cover as appropriate
  • Be the first point of contact for visitors and parents - answering queries, resolving problems and making decisions where appropriate
  • Be responsible for arranging educational visits in accordance with the Schools policy and procedures.
  • Provide pastoral care and support to sick and injured children taking appropriate action as necessary ensuring parents and school staff are fully informed of incidents and accidents
  • Maintain accident records as required
  • Maintain medical records as required
Qualifications
  • NVQ3 or above in Administration or relevant equivalent in this discipline (Essential)
  • NVQ4 in a relevant discipline
  • Word processing / typing qualifications
Experience
  • Previous administrative experience
  • Experience of managing database systems
  • Experience of school based systems, including SIMS
  • Experience of managing financial procedures such as school funds
  • Knowledge of school & Durham Local Authority policies and procedures.
