Office Manager - Fleet & Administrative Support

We are looking for an organized and proactive Office Manager to oversee both a company vehicle fleet and general office operations. This role combines fleet management responsibilities with front-of-house and administrative support, ensuring smooth day-to-day operations and a welcoming environment for staff and visitors.

Key Responsibilities
Fleet Management
  • Oversee daily operations of a fleet of vehicles.
  • Coordinate maintenance, repairs, and replacements with external providers.
  • Maintain accurate vehicle records, including registrations, insurance, and service schedules.
  • Monitor fuel usage, mileage, and vehicle performance.
  • Ensure compliance with transport and safety regulations.
  • Track and report on fleet costs, maintenance schedules, and utilization.
  • Develop and implement fleet-related policies to optimize efficiency and control costs.
Front-of-House & Administrative Support
  • Greet and assist visitors in a professional manner.
  • Manage incoming calls, emails, and general inquiries.
  • Provide administrative support, including scheduling, filing, and document preparation.
  • Assist with office supplies, facilities, and operational tasks.
  • Support internal communications and team coordination.
Qualifications & Experience
  • Experience in fleet management, office management, or administrative operations.
  • Understanding of vehicle maintenance, scheduling, and compliance requirements.
  • Front-of-house experience, such as reception, call handling, and visitor management.
  • Strong organizational, communication, and multitasking skills.
  • Proficient in Microsoft Office, email/calendar tools, and fleet management systems.
  • Ability to work independently and manage multiple priorities.
  • Optional: Valid driver's license.
