The Role
  • Oversee all daily operations, including stocking, tidying, post, inventory management (storage and office), and managing the desk booking system (Tactic).
  • Be the primary contact for all incoming calls on the office mainline phone, answering professionally and efficiently, directing inquiries, and taking detailed messages.
  • Source, research, and order all office supplies, including consumables and technology (fruit, milk, office supplies, etc.)
  • Maintain relationships with all existing vendors, including cleaners and plant services and tracking renewal dates.
  • Execute projects related to office aesthetics and comfort (e.g. soundproofing, painting). Work closely with Finance and Platforms on shared initiatives.
  • Support new joiner onboarding, including office tours, access cards, and equipment setup.
  • Manage the collection of office guests.
  • Warmly greet and collect guests and visitors ensuring they are settled and directed appropriately.
  • Preparing refreshments for guests and larger meetings
  • General office maintenance - including clearing down meeting rooms, maintaining communal areas
  • Log and track office-related invoices for finance monitoring
  • Ad hoc support of the Business Support Team where necessary
About You
  • Prior experience in an office, reception, or service-focused administrative role.
  • You must be solutions-led and possess a proactive approach, able to identify problems and proactively seek answers and implement fixes without heavy supervision. A "can-do" attitude is essential.
  • Detail Orientation: We require a methodical, meticulous, and detail-orientated approach to work, finding satisfaction in tracking inventory and ensuring invoices are correct.
  • You must be professional, warm, and have a people-centred approach, sharing our values of collaboration and mutual respect.
  • Communication: Possess excellent interpersonal communication skills, required for effective liaison with both internal stakeholders and external suppliers/contractors.
