The Role

We are looking for a highly organised, proactive and positive Office Assistant / PA to support the smooth running of our creative studio. Acting as a central point of support for the team, you will play a vital role in ensuring day‑to‑day efficiency, providing administrative and clerical support, and assisting Alexandra directly with both professional and personal organisational tasks.

This is a varied and hands‑on role, ideal for someone who thrives in an exciting fast‑paced design environment, enjoys keeping things in order, and brings warmth, discretion, and reliability to every task.

Key Responsibilities
  • General Studio & Administrative Support
    • Buy office supplies and consumables as required, ensure the studio and office spaces are well maintained and organised.
    • Ensure the making and packaging rooms are tidy with inventory clearly labelled.
    • Liaise with external contractors for studio maintenance, IT support, repairs and cleaner.
    • Ensure office equipment is up to date.
    • Maintain digital filing systems, company ‘Bible’ and handbooks.
    • Oversee studio utilities, subscriptions, alarm systems, and insurance renewals, and send relevant invoices for payment.
    • Support health & safety compliance and maintain relevant records.
    • Conduct annual, monthly and weekly fire alarm checks.
  • Supporting Alexandra
    • Manage Alexandra’s diary and travel arrangements.
    • Assist with restaurant bookings, personal scheduling, and ad‑hoc tasks.
    • Provide organisational support for Alexandra’s professional and personal commitments.
  • Production & Sales Support
    • Conduct a biannual stock count.
    • Assist with QC.
    • Handle general office enquiries by phone and email.
    • Assist with data entry (sales database).
    • Facilitate shipping and logistics for sales and production, providing customs clearance assistance for international orders when required, making sure all shipping bills are logged in correctly.
    • Make the product (training will be provided) and packaging components.
  • HR & Team Assistance
    • Assist with recruitment and onboarding processes.
    • Maintain employee records and track holiday/sick leave.
    • Coordinate staff meetings, training sessions, and team events.
    • Assist in scheduling meetings, manage agendas, take minutes, and follow up on actions.
    • Support managers and other team members with administrative tasks and contracts.
    • Help foster a positive studio culture through team activities (including our much‑loved games nights).
