Office and Facilities Administrative Assistant – 12 month FTC

We are searching for an experienced Office and Facilities Administrative Assistant to join our Facilities team in our Nottingham office on a 12-month fixed-term contract. The role will be based on site 5 days per week and will involve coordination with a colleague in the Leicester office to ensure a seamless service across the East Midlands.

In this role, you will provide an enthusiastic, effective and efficient administration service and support the office with all facilities matters.

You’ll make an impact by:
  • Supporting the office with all facilities matters, such as advising the manager of faults and repairs that need attention, liaising with contractors on site under supervision from the Facilities Supervisor.
  • Providing effective administrative support to all partners and service lines, including ad‑hoc duties, preparation of letters and internal compliance procedures.
  • Managing reception duties, including answering calls and greeting visitors with professionalism and courtesy.
  • Booking and setting up meeting rooms, restoring them to the standard set‑up after use and ensuring they are fully equipped with RSM collateral where appropriate (notepads, pens, flip‑charts, refreshments, etc.).

  • Good IT skills and experience with MS Word, MS Excel, MS PowerPoint and related programmes.
  • Forward‑looking thinker who actively seeks opportunities and proposes solutions in a timely manner.
  • Commitment to, and enthusiasm for, client service and delivery.
  • Ability to work co‑operatively and effectively within the team and the organisation.
  • Ability to manage multiple tasks simultaneously, solve problems, meet deadlines, and maintain high quality work.
